Job Duties & Responsibilities:

  • Maintains and updates safety records, including training logs, incident reports, and compliance documentation to ensure organizational readiness.
  • Coordinates and schedules safety training sessions, audits, and inspections; prepares and distributes related communications, bulletins, and policy updates.
  • Supports the development, implementation, and tracking of corrective action plans, inspections, and incident follow-ups.
  • Monitors and ensures compliance with OSHA, DOT, and other applicable regulatory requirements.
  • Coordinates post-accident care, drug testing, and workers’ compensation claims.
  • Tracks and reports key safety metrics, including incident rates, training completion, and fleet performance.
  • Coordinates and performs installation and troubleshooting of GPS and dash camera units for drivers; monitors driver behavior trends using GPS data and communicates findings to management.
  • Tracks vehicle-related complaints and provides updates to managers.
  • Records and reports vehicle mileage and fuel usage for required environmental reporting.
  • Monitors vehicle utilization and ensures compliance with company fleet policies.
  • Assists in coordinating facility maintenance and repairs, including scheduling vendors and contractors.
  • Maintains inventory of safety and facility supplies (e.g., PPE, first aid kits, fire extinguishers).
  • Supports facility safety inspections, enviromental recycling programs and maintains compliance documentation.
  • Tracks facility water, electricity, and waste usage for required environmental reporting.
  • Coordinates with branches to establish and support recycling and waste management processes.
  • Manages the issuance of new security badges for multiple sites, oversees deactivation of badges for terminated employees, and conducts regular badge system audits to ensure accuracy and compliance.
  • Provides administrative and operational support to the Safety team to ensure smooth daily operations.
  • Other duties as assigned.

 

Skills & Qualifications:

Minimum Qualifications:

  • Minimum of a high school diploma or equivalent.
  • 1+ years of administrative support experience, preferably in safety, fleet, facilities, or compliance-related roles.
  • Ability to manually install GPS units in company vehicles, including performing installations under dashboards and ensuring proper functionality.
  • Strong organizational skills with attention to detail.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) with ability to learn safety management software.
  • Clear and concise communication skills, both verbally and in writing.
  • Ability to handle sensitive information confidentially.

 

Preferred Qualifications:

  • Associate’s or Bachelor’s degree in Business Administration, Safety Management, or related field.
  • 3 years of administrative support experience, preferably in safety, fleet, facilities, or compliance-related roles.
  • Experience with record-keeping and vendor coordination.
  • Knowledge of OSHA, DOT, and workers comp.
  • Familiarity with GPS systems, dash camera technology, or safety management software.

 

Essential Job Functions:

  • Be able to lift and carry ladders, drawings, personal computers, material, etc.
  • Be able to lift up to 50lbs+.
  • Be able to spend significant time standing and walking on construction sites.
  • Be able to climb several flights of stairs or ladders throughout a typical day on a construction site. 
  • Maintain a satisfactory driving record which, per Climatec’s vehicle policy, allows the individual to drive a company vehicle.
  • Be physically able to kneel, stoop and crawl.
  • This role involves frequent work in outdoor settings, mechanical or equipment rooms, and potentially extreme weather conditions. Regular exposure includes live voltage, moving mechanical parts, heavy machinery, and wet or humid environments. Work may also involve elevated or precarious locations, exposure to airborne particles, fumes, electrical hazards, and vibrations. Occasional exposure to toxic or caustic chemicals, extreme temperatures (hot or cold), and loud noise levels is to be expected.
  • Must have accurate color vision and maintain clear visual acuity to safely and effectively perform job responsibilities
