Responsibilities:

  • Perform general administrative responsibilities such as filing; auditing, creating purchase orders, coding and submitting and inputting invoices; scanning; faxing preparing correspondence/transmittal letters, etc.
  • Oversee the day-to-day operations and upkeep of the management offices and perform routine building inspections
  • Oversee collection and enforcement of Certificate of Insurance policies related to tenants, vendors and contractors, in order to comply with outlined insurance requirements
  • Assist in contract management (janitorial, landscaping, pest control, etc.), manage seasonal agreements and license agreements for vending/services and maintain portfolio building contract summary spreadsheet
  • Review and assist in accounts receivables, contacting tenants regarding past due accounts
  • Ensure public spaces are presentable, including placement of signage and banners
  • Create and maintain Building Access Spreadsheet with current passcodes, vendor passwords (security, alarm monitoring, Yardi) and warranties
  • Work closely with Leasing and local Brokers to set up showings
  • Liaison for Landlord, Tenant and Contractors during Tenant Improvement phase
  • Work closely with Property Manager to secure bids for annual budgets
  • Interact with tenants regarding basic management questions, tenant quarterly financials, accounts receivable (rent bumps, delinquent rent, bill backs, change of address and return to sender notification) and coordinate tenant move-in/move-out forms and requests 
  • Interact with vendors on invoice payment status, incorrect invoices and lien waivers
  • Write and mail or e-mail monthly notice letters for delinquent rent, OPEX increases in December and OPEX settlements in March/April
  • Review budgeted recurring expenses in Avid
  • Perform additional responsibilities/tasks as requested

 

Qualifications: 

The ideal candidate must posses the following qualifications:

  • Bachelor’s degree or equivalent experience/education required
  • 1+ years of previous administrative experience 
  • Prior real estate experience with exposure on the healthcare side preferred
  • Excellent oral and written communication skills
  • Proficiency in Microsoft based software
  • Solid organizational skills with the ability to work efficiently and independently
  • Prior employment history demonstrating the ability to work in a fast-paced, high-intensity environment while managing multiple tasks and priorities, and produce accurate results in a highly organized manner
