Reporting to the Manager, Volunteer Programs, the Associate supports a vital area of the Museum’s work: engaging Volunteers to facilitate meaningful encounters at the Museum for a broad and diverse public. Supporting the work of the Manager of Volunteer Programs and serving as a key member of the Art in Bloom staff team, the Associate performs duties related to the smooth and efficient operations of the MFA’s Volunteer Program as well as the MFA’s signature spring event, Art in Bloom.

Essential Functions:

Floral Design Program (45%)

  • Serves as the staff liaison between the Volunteer Programs office and the Floral Design program.
  • Collaborates closely with the Special Events team to fulfill monthly requests for volunteer-created floral arrangements for museum events.
  • Oversees requests for maintenance and cleaning of the floral workspace to ensure a safe, organized, and tidy environment.
  • Processes Request for Payments and submits them to the Museum’s Accounts Payable office for timely reimbursement for expenses incurred by volunteers, including but not limited to floral program invoices; payments to program presenters; payment to outside vendors, and other deposits as needed. 

Art in Bloom (45%)

  • Serves as a key member of the Art in Bloom staff team.  Manages the outreach to and coordination of Garden Clubs and Floral Designers for Art in Bloom, as well as supporting Art in Bloom fundraising efforts.
  • Plays an active role in Art in Bloom during the 4-day run of that event.

Office Administration (10%)

  • Monitors and maintains financial records for Volunteer Programs.
  • Coordinates with the Manager of Volunteer Programs to keep volunteer security badges up-to-date.
  • Submits work orders to Facilities, Communications, Creative Services, Restaurant Associates, Protective Services, IT, and other Museum service providers as needed to support key volunteer programs and monitors progress against those requests. 
  • Orders and stocks office supplies through the Museum’s vendor, ensuring supplies are available and well organized.
  • Responds to telephone and email inquiries.

Secondary Functions:

  • Provides assistance, as needed, in the upkeep of the Saunders Suite, the volunteers’ home base while at the MFA.
  • Other duties as assigned or required. 


Qualification Requirements and Characteristics 

  • Bachelor’s degree or equivalent professional experience required.
  • Two to three years of office experience preferred.
  • Solid working knowledge of PC-based Microsoft Word and Excel, such as mail merges
  • Strong quantitative skills and familiarity with budgets, business financial forms (invoices, expense forms, fund transfers, etc.), as well as experience and facility with maintaining, manipulating, and analyzing data. 
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills. 
  • Ability to handle delicate and confidential information.
  • Ability to multi-task and prioritize assignments 
  • Proven ability to work both independently and as a team player.

  • Flexibility to work occasional evening and weekend events as needed.


Compensation and Schedule:

Hourly Rate: $27 - $29 per hour

Part-Time, 25 hours per week

This position is affiliated with the United Auto Workers Union.
