What We Are Looking For:

Distyl is looking for a highly organized and detail-oriented Workplace Experience Coordinator to optimize operations for our New York office. In this role, you will play a key part in creating a productive and welcoming environment for our team and our guests while ensuring smooth day-to-day operations.

The ideal candidate thrives in a fast-paced environment, excels at managing multiple priorities, and has a strong passion for enabling team success through operational excellence. You will support office logistics, operations, and culture initiatives, ensuring that Distyl continues to attract top talent and operate efficiently.

Key Responsibilities:

NY Office Management

  • Keep the NY office clean, well-stocked, and running smoothly

  • Oversee logistics, supplies, visitor experience, and coordinate an upcoming office relocation

  • Oversee office facilities and vendor relationships, including cleaning, security, IT equipment, and building management

  • Track and manage office budgets (supplies, food, events, and space-related expenses)

  • Be on-site five days a week

IT & Equipment Logistics

  • Maintain inventory of office equipment and supplies, ensuring timely procurement

  • Support basic IT onboarding tasks, such as laptop setup or coordinating with IT

Employee Experience & Operations Support

  • Plan team events, celebrations, swag, and engagement programs that build connection

  • Serve as a go-to resource for day-to-day employee questions (HR, facilities, travel, etc.)

  • Drive internal communications and gather feedback to improve the employee experience

  • Coordinate logistics for offsites, colocations, and cross-functional projects

Onboarding Support

  • Deliver a smooth onboarding experience for new hires in NY and SF, including Day 1 support

  • Manage communications, account setup, and organize monthly onboarding cohorts

Administrative and Executive Support

  • Manage executive calendar, scheduling, and travel

  • Oversee recurring workflows: form submissions, vendor management, and tracking sheets

Qualifications:

  • Minimum 2 years of experience in office management or administrative support (startup or fast-paced environment preferred)

  • Strong organizational and time-management skills with the ability to juggle priorities and maintain confidentiality

  • Excellent communication skills (verbal and written) and ability to collaborate across teams

  • High attention to detail and a proactive, resourceful mindset
