Executive Assistant to CEO and Board Liaison

As the need for our services grows and becomes increasingly complex, Catholic Charities is working to adapt and respond. We respond in three ways – preventing poverty, meeting basic needs in times of crisis, and creating pathways out of poverty.

WAGE RANGE:  $80,000-$89,000/annual 

 


JOB SUMMARY  

Assists CEO by handling a wide variety of administrative functions in the agency. Manages the CEO’s calendar, meetings, correspondence and budget. Drafts agendas, presentations and communications. Maintains confidential information. Provides regular support to the Executive Team. This position also serves as a liaison to the Board of Directors and remains up to date with board compliance and general matters.

 

ESSENTIAL FUNCTIONS

Executive Support:

  1. Responsible for providing direct administrative support to the CEO including, but not limited to, the coordination and scheduling of meetings, drafting agendas, taking minutes at meetings, initiating routine correspondence for signature, maintaining files both digitally and hardcopy. 
  2. Responsible for necessary financial tasks such as expense reporting, processing check requisitions and obtaining appropriate signatures as requested by Accounts Payable.
  3. Responsible for collecting and compiling required reports and documents for annual audits and other accreditations. 
  4. Responsible for coordinating with division directors to plan monthly meetings
  5. Lead on coordination and implementation of agency-wide events of varying scale
  6. Accountable for providing support to assigned departments and special functions such as the Board of Directors and Executive Team. 
  7. Other duties as assigned.

Board Liaison:

  1. Responsible for providing direct administrative support to the Board of Directors, Executive Committee of the Board, the Governance Committee of the Board and the HR Subcommittee with tasks including, but not limited to, coordination and scheduling of meetings, preparation of meeting minutes and materials.
  2. Facilitates annual process regarding completion of committee charters, committee membership, at-large member nominations, orientation of new directors, conflict of interest certifications, annual Board survey and completion of Board Directory. 
  3. Responsible for maintaining SharePoint sites, external Board portal and administrative materials utilized by Catholic Charities staff and Board members.
  4. Serves as custodian of all Board records and adheres to record retention policies.
  5. Maintains positive working relationship with members.
  6. Adheres to compliance with applicable rules and regulations set in organization’s Bylaws regarding Board and Board member matters.

Other duties as assigned. 

 

QUALIFICATIONS/TECHNICAL EXPERTISE

  • Bachelor's degree preferred with 5 years of experience in appropriate professional area or as an administrative assistant to senior management 
  • Project management experience or certification, a plus
  • Professional experience working with Board of Directors and demonstrated understanding of managing requirements including compliance and bylaws 
  • Demonstrated experience utilizing meeting facilitation skills strongly desired
  • Ability to represent Catholic Charities in a professional, respectful manner to critical partners 
  • Demonstrate initiative and the ability to work without close supervision  
  • Passionate to work with people of diverse cultural backgrounds and identify with the mission, goals and objectives of Catholic Charities
  • Must have robust written and oral communication skills  
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail while maintaining a high level of confidential information
  • Desire and willingness to help where needed
  • Ability to demonstrate flexibility in day-to-day work
  • Familiarity and basic technology skillset including accurate typing, conducting virtual meetings, etc. 
  • Knowledge of Windows and Microsoft Office Suite is required
  • Has the ability to work with diverse and/or low-income populations, including those who may be experiencing homelessness, unstable housing, and/or mental illness.
