JOB SUMMARY
Valley Imports is looking for a Warranty Administrator and Booker with a customer-first mindset to join our team! The Warranty Administrator and Booker will book customer pay, internal, and warranty appointments, prepare and submit warranty claims, verify warranty coverages and eligibility, communicate with service advisors and technicians to coordinate warranty repair, and provide excellent customer service. The ideal candidate will have the ability to analyze problems, identify trends, and develop strategies for maximizing claim process and exceeding customer expectations!
Shifts range between 7am-6pm, Monday-Saturday, with 45 hours per week. The pay is hourly. The hourly rate DOE.
QUALIFICATIONS (minimum requirements)
- High School Diploma or G.E.D.
- Valid driver’s license and acceptable driving record.
Preferred/Required Skills and Abilities:
- Must be familiar with a dealer’s procedures, and follow all rules and regulations, especially those mandated by local, state, and federal governments.
- Working knowledge of activities, methods, procedures and policies of the Service Department
- Proven experience in a dealership service or warranty environment.
- Proficiency with CDK Drive or similar dealership management systems.
- Strong knowledge of OEM warranty policies and claim submission procedures.
- Ability to manage warranty processes across multiple manufacturers simultaneously.
- Exceptional organizational and multitasking skills in a fast-paced environment.
- Excellent verbal and written communication skills with both customers and internal staff.
- High attention to detail and accuracy in data entry and documentation.
- Ability to work independently while supporting a team-oriented service department.
- Strong problem-solving skills and customer-first mindset
Supervision of others/decision making aptitude (if applicable):
- No supervisory responsibilities required with this position.
ESSENTIAL FUNCTIONS AND ACCOUNTABILITES
- Review and book all repair orders for proper completion, accuracy, and legibility according to the policies and procedures.
- Verify warranty coverage, eligibility, and required documentation prior to scheduling repairs.
- Utilize CDK Drive (or other dealership management systems) to schedule service, process warranty claims, and maintain accurate customer/vehicle records.
- Handle warranty processes across multiple manufacturers, each with unique policies, procedures, and claim requirements.
- Communicate with service advisors, technicians, and customers to coordinate warranty repair work efficiently.
- Maintain detailed records of all warranty bookings, authorizations, and customer interactions.
- Prepare and submit warranty claims to manufacturers for approval in a timely and accurate manner.
- Provide excellent customer service by explaining warranty procedures, coverage, and next steps clearly.
- Monitor warranty repair progress and keep customers informed of status updates.
- Support the service department with administrative tasks such as data entry, filing, and report generation.
- Ensure adherence to company standards, compliance guidelines, and customer satisfaction targets.
- Will help Advisors with extended warranty approvals to keep the flow of the drive moving.
- Answering phones and making appointments.
- Answering customer questions via phone.
- Working declined services report and following up with customers to schedule service.
- Maintains professional and technical knowledge by completing assigned manufacture training.
- Work open repair order list on a weekly basis.
- Identifies, recommends, and supports opportunities for methods/process improvement within the Service Department.
- Working with the accounting staff to clear up any discrepancies.
- Maintains a professional appearance at all times.
- Adhere to work schedule and maintain regular attendance.
- Performs Wallwork Inc.-wide duties as requested by the designated supervisor.
