Account Clerk - Maint/Ops

 

Location: Maintenance and Operations (MOS)
Schedule: 11:15am - 3:30pm, Monday - Friday

Work Year: 260 paid days per year


JOB SUMMARY:
Under the direction of the assigned supervisor, performs central accounting duties, including auditing, calculating, posting, invoicing, and related financial record-keeping, in support of the Business Services departments. In addition, the Account Clerk may provide accounting support for General Obligation Bond projects.


JOB RELATIONSHIPS:
Reporting to the assigned supervisor; works with other office and school personnel; may have work relationship with other district staff or community members.

 

ESSENTIAL FUNCTIONS:

  • Opens, verifies, balances, adjusts and audits accounts. Posts, assembles, tabulates and compares financial data, uses various financial databases and spreadsheets. 
  • Prepares E-rate forms. 
  • Prepares and monitors, budget and expenditure reports. Prepares various financial reports for the management team. 
  • Prepares and mails invoices. 
  • Prepares requisitions and field contracts. 
  • Reviews and tracks invoices for supported departments and compares to approved purchase orders and contracts, prior to submitting for department management approval. 
  • Utilizes district ticketing system to track technology purchase requests. 
  • Monitors, collects, and records contracts for all sites and departments district wide. Prepares contract ratification report for the Board of Trustees. 
  • Update Business Services website areas with publications, forms, and informational and procedural updates. 
  • Process travel and conference requests. 
  • Monitors, collects, and records accident, legal, and insurance claims against the district. Acts as an intermediary with the JPA. Prepares necessary reports and forms. 
  • Collects department timesheets and identifies appropriate funding source. May serve as backup to the Payroll Team, and enter timesheets into system as needed. 
  • Reconcile department absences monthly. 
  • Process fuel reports monthly. 
  • Track construction expenses by project for Maintenance and Operations. 
  • Serves as backup for Account Technician, in the event of a long term absence. 
  • Perform other duties as assigned.   


KNOWLEDGE OF:

  • Fundamental accounting or bookkeeping principals and procedures. 
  • Modern office procedures and methods. 
  • Use of standard office machines and equipment. 
  • Correct English usage, grammar, spelling, punctuation, and vocabulary. Reading and writing English communication skills. 
  • Knowledge of the following software applications: Microsoft Word, Excel, PowerPoint, Internet Explorer, Quick Books, Adobe Acrobat, PeopleSoft. 
  • Knowledge of Google cloud based software including Sheets, Docs, Slides, Forms, and Drive.

 

 

ABILITY TO:

  • Operate standard office equipment including desktop computer and related software applications.
  • Communicate effectively orally and in writing. 
  • Plan and organize work. 
  • Establish and maintain cooperative and effective working relationships with others. 
  • Meet schedules and timelines. 
  • Maintain records. 
  • Read, apply and explain rules, regulations, policies and procedures   

 

EDUCATION AND EXPERIENCE:

 

High school diploma or equivalent.

 

Any combination of training, experience and/or education equivalent to two years of recent, full time equivalent paid bookkeeping or accounting experience.

 

The recent completion of twelve units of college-level accounting training may be substituted for one year of the experience requirement.

 

LICENSES AND OTHER REQUIREMENTS:

  • High school diploma or equivalent.

  • Kneeling, bending at waist and reaching overhead, above the shoulder and horizontally, to retrieve and store files and supplies; lifting light objects.
