ABOUT THE CLERK’S OFFICE:

The Circuit Court Clerk’s Office is the administrative arm of the Circuit Court. Our day-to-day operations significantly impact the Chesterfield community. The Clerk’s Office prioritizes accessibility, transparency, effectiveness and being constituent focused. The staff within the Clerk’s Office are responsible for providing administrative support, record keeping, case management, court-related financial matters, and, most importantly, adhering to the law.

ABOUT THE CUSTOMER SERVICE DIVISION:

The Customer Service Division serves as the first point of contact with the Clerk’s Office, and ensures all customers, in person or on the phone, receive the highest quality service possible. They direct all customers to the correct department; handle matters related to registering ministers; qualifying notaries; issuing concealed handgun permits; receipting payments; and data entry. We are looking to expand our Customer Service Division with a dedicated, caring, team-oriented professional having three or more years of experience in a customer service environment, court/legal setting is preferred, or an equivalent combination of training and experience. Exceptional people skills are a must, as a large part of what we do is supply information, assistance, and support to customers who may be going through a difficult time. Legal matters can feel confusing or overwhelming for many; therefore, clear, and compassionate communication is essential.

MINIMUM QUALIFICATIONS:

High school diploma or GED; college degree preferred; one year of previous office and/or customer service experience preferably in the court, legal, real estate, mortgage banking or credit bureau industry; or an equivalent combination of training and experience. Experience with standard office equipment and software; knowledge of standard office procedures and complex legal procedures/terminology; demonstrated skills in oral/written communication; multi-tasking in a fast-paced environment; meeting tight deadlines; attention to detail; public relations/customer service; utilization of state-of-the-art technology and work proficiency. Pre-employment drug testing, FBI criminal background check and education/degree verification required.

DUTIES:

Serve as the first point of contact for customers seeking assistance from the Clerk’s Office.

· Answer customer inquiries and direct phone calls to the appropriate divisions within the office.

· Issue concealed handgun permits, notary commissions, minister authorizations, and other certificates/licenses.

· Handle the intake and processing of various criminal and civil documents.

· Process and receipt payments from customers.

· Perform end-of-day cash reconciliation and closing procedures.

· Prepare and submit monthly reports to state and local agencies.

· Administer oaths for state and local appointments.

· Complete other duties or special projects as assigned by the Clerk of Circuit Court.

This position will be primarily assigned to the Customer Service Division of the Circuit Court Clerk's Office but may be reassigned to other areas of the office as needed.

Minimum Qualifications

24 - 28 hours/week; 8:00 am - 4:30 p.m.; exact hours to be discussed at interview
