Job Summary:

Duke Ellington School of the Arts is seeking a full-time Staff Accountant to join their team immediately. The Staff Accountant will be responsible for processing cash receipts, managing accounts receivable and accounts payable, and preparing work papers in assistance to the CFO and Director of Finance.

Duties & Responsibilities:

Review data entry of cash receipts & post transactions weekly to Abila/MIP accounting system. Prepare adjusting journal entries/corrections as needed. Ensure restricted funds are properly classified. Review/assess contribution activity with the Director of Finance. Determine if allocations are required. Make necessary adjustments. Import adjusted activity from Abila FR50 to Abila/MIP accounting system.

Ensure accurate and timely processing of invoices and establish procedures to help manage accounts receivable. Coordinate with CFO/Director of Finance to resolve accounts receivable transaction issues. Review updated receivables and submit a report to designated staff members monthly. Record all related accounts receivable general ledger entries. Review all accounts payable activity. Verify proper authorizations and budget limitations. Post accounts payable batch entries Review cash availability with the CFO/Director of Finance on a bi-weekly basis.

Prepare/update asset, liability and net assets work papers monthly. Verify restricted cash received is appropriately recorded on work papers and in Abila accounting software. Prepare work paper to record in-kind contributions noting amount, purpose and release from restrictions period. Prepare adjusting journal entries related to General Ledger accounts for review by the Finance Director monthly.

Maintain a schedule of property & equipment including depreciation schedules. Work in conjunction with the IT Department to verify inventory lists. Ensure proper allocation between departments and restricted PPE items.

Assist CFO and Director of Finance in other administrative and financial matters including but not limited to preparation of financial analyses, audit assistance and cash management.

Minimum Position Requirements:

  1. Bachelor’s degree in Accounting or Finance required.
  2. Three to five years of accounting experience required.
  3. Ability to analyze financial data and adhere to internal control procedures is required.
  4. Experience with financial accounting software.
  5. Experience with Abila/MIP Accounting software is strongly preferred. 
  6. High level of proficiency and knowledge of Microsoft Office Suite (i.e. Word, Excel) is required. 
  7. Knowledge and application of generally accepted accounting principles.
