Position Summary:
The Temporary Administrative Assistant will support the Admissions Department in managing the intake and onboarding of residents into our Skilled Nursing Facility. This role requires exceptional attention to detail, strong organizational skills, and the ability to handle sensitive information with discretion. The ideal candidate will have prior exposure to SNF admissions processes and thrive in a fast-paced, regulated healthcare environment.
Key Responsibilities:
Administrative & Admissions Support
- Assist with processing and tracking SNF admissions applications.
- Coordinate with hospitals, families, and referral sources to gather necessary documentation.
- Maintain accurate and up-to-date resident records in compliance with HIPAA and DOH regulations.
- Schedule tours, assessments, and intake meetings.
- Prepare admission packets and ensure all required forms are completed.
- Support the Director of Admissions with calendar management and follow-ups.
General Office Duties
- Answer phones, greet visitors, and direct inquiries appropriately.
- Perform data entry, scanning, filing, and document preparation.
- Monitor and maintain office supplies and equipment.
- Assist with internal reporting and compiling data from multiple sources.
Compliance & Communication
- Ensure adherence to state and federal regulations regarding admissions and resident care.
- Communicate effectively with families, staff, and external agencies.
- Maintain confidentiality and professionalism in all interactions.
Qualifications:
- High School Diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Minimum 1-2 years of administrative experience, preferably in a healthcare or SNF setting.
- Familiarity with SNF admissions procedures and terminology.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong written and verbal communication skills.
- Ability to multitask and prioritize in a dynamic environment.
- Experience with EMR systems and database management is a plus.
Physical Demands:
- Ability to sit for extended periods and perform repetitive tasks (e.g., typing, data entry).
- Frequent use of hands for handling documents, typing, and operating office equipment.
- Occasional lifting of up to 25 lbs (e.g., files, office supplies).
- Bending, stretching, and reaching for filing and organizing materials.
- Visual acuity for reading documents and computer screens.
