As Seltzer’s builds the foundation for the next 120 years, we are looking for an organized, proactive, and trusted Executive Assistant. This role goes beyond traditional administrative support by helping leadership stay aligned and accountable to our purpose through the tools and disciplines of the Entrepreneurial Operating System (EOS).

Position Overview

The Executive Assistant will play a dual role:
  • Administrative & Personal Support: Provide direct support to the CEO (Business Owner) and COO, including some personal assistant functions for the CEO (Business Owner).
  • Integrator Support (EOS-Aligned): Act as a right hand to leadership by helping align priorities, streamline communication, and keep the leadership team accountable to goals.
This role requires a highly organized, discreet, and resourceful professional who thrives in a dynamic, entrepreneurial environment.

Key Responsibilities
Executive Support:
  • Manage calendars, coordinate meetings, and schedule travel for CEO (Business Owner) and COO.
  • Draft, review, and organize correspondence, presentations, and reports.
  • Prepare meeting agendas, take notes, and track action items for accountability.
  • Assist with personal scheduling, errands, and other personal assistant functions for the CEO (Business Owner).
  • Leverage AI tools (e.g., ChatGPT, automation platforms) to draft communications, create reports, conduct research, and streamline administrative tasks.
Operational / EOS Integrator Support:
  • Help translate leadership vision into clear priorities and actionable tasks.
  • Ensure alignment and follow-through on company rocks, scorecards, and to-dos.
  • Serve as a communication bridge between leadership and other departments.
  • Support and track progress on strategic initiatives.
  • Identify and help resolve issues by surfacing them to the leadership team.
  • Use AI-driven tools to support data analysis, meeting preparation, and progress tracking.
Office & Project Coordination:
  • Manage vendor relationships, contracts, and basic office administration.
  • Assist with special projects as assigned by CEO (Business Owner) or COO.

  • Professionalism & Flexibility: Balance executive-level support with hands-on administrative tasks.

Qualifications
  • 5+ years of experience as an Executive Assistant, preferably supporting multiple executives.
  • Experience in small business, manufacturing, food industry, or entrepreneurial environment a plus.
  • Familiarity with EOS/Integrator concepts strongly preferred.
  • Strong communication skills (written and verbal).
  • High proficiency in MS Office / Google Workspace and project management tools.
  • Proficiency in ChatGPT and other AI tools for drafting communications, streamlining workflows, research, and improving efficiency.
  • High emotional intelligence with the ability to build trust, manage sensitive dynamics, and navigate executive-level relationships.
  • Ability to adapt quickly, prioritize effectively, and maintain composure under pressure.
