Position Overview
The Lead Operations Associate plays a pivotal leadership role within the Operations Department, overseeing day-to-day activities while driving process excellence across intake, curation, logistics, and vault management. Reporting to the Operations Manager, this individual serves as a key point of contact for cross-functional collaboration and is responsible for ensuring team execution, operational accuracy, and the integrity of all high-value collectible assets.
As a senior member of the team, the Lead Operations Associate sets the standard for execution and quality, mentors team members, and helps shape process improvements that scale with the business. This is a hands-on, detail-driven leadership role ideal for someone with a passion for collectibles, a deep understanding of logistics workflows, and a proven ability to lead in a fast-paced environment.
Key Responsibilities
- Lead daily operations across intake, curation, inventory management, and logistics, ensuring timely and accurate execution.
- Oversee and perform intake and titling of collectibles, including vintage, modern, and TCG cards using Fanatics Collect formatting standards.
- Coach and mentor Operations Associates to uphold high standards of quality and efficiency.
- Conduct quality control checks across asset preparation, including image and video review for auction readiness.
- Coordinate inventory movement, including archival key restickering and transfers between storage locations.
- Ensure accuracy in all pre- and post-authentication processes, including imaging, video capture, and asset finalization.
- Act as a liaison with cross-functional teams (e.g., Imaging, Raw Card Ingestion, Auction, and Logistics) to align on priorities and resolve issues.
- Manage and monitor inbound and outbound shipments, ensuring all packages are properly processed and documented.
- Supervise order fulfillment, including verification of item serial numbers, proper packaging, and labeling.
- Track and audit inventory, ensuring records are consistently updated and storage conditions meet quality standards.
- Proactively identify and escalate discrepancies, rush orders, or mis-shipments and lead resolution efforts.
- Support process improvements, training initiatives, and documentation to optimize operations as the team scales.
Qualifications
- 2–4 years of experience in operations, logistics, or inventory management (experience in collectibles or e-commerce strongly preferred).
- Demonstrated leadership ability in a team setting, with experience training or mentoring others.
- Strong organizational, analytical, and problem-solving skills.
- Excellent verbal and written communication skills; able to communicate effectively across departments.
- High attention to detail and ability to manage multiple priorities in a dynamic environment.
- Proven reliability, discretion, and integrity in handling high-value or sensitive items.
- Comfortable using inventory management systems and productivity tools (e.g., Google Workspace, Excel).
- Physical ability to perform warehouse tasks, including standing, lifting, and reaching overhead.
