Project Coordinator Manager

The Project Coordination Manager is part of a program management team, managing construction programs consisting of multiple projects for our multi-site clients. The Manager, Project Coordination and acting in a leadership role for other Project Coordinator teams. This role assists the Project Team with the documentation, administration and tracking of construction projects from the pre-planning stages through construction and project closeout at an experienced level, while also leading and supervising other Sr Project Coordinators. This is a remote based role.

Essential Duties and Responsibilities

  • Lead teams of project coordinators, and Sr Project Coordinators, providing support and coaching as necessary
  • Ensures project coordinator teams are properly resourced, maintaining awareness of capacity and additional resource needs
  • Forecasts potential resourcing issues and escalate to program team leads, including Project Executives and Operations Directors, with possible recommendations.
  • Shares best practices across coordinator teams, providing training and support of below referenced tasks as needed.
  • Sets up projects in Client and/or Company project management systems, including all required project documentation.
  • Updates status of projects and key milestone dates in Client and/or Company project management systems.
  • Leads or assists in drafting, distributing and tracking of Contracts, Purchase Orders, and Change Orders to subcontractors/suppliers.
  • Maintains project documentation throughout duration of project
  • Verifies and manages payment to contractors and vendors during construction
  • Responsible for acquiring, coordinating, and submitting owner required close-out documents for project closeout and final contractor/supplier payments
  • Assembles and distributes reports for internal and external customers.
  • Maintains confidentiality with sensitive or proprietary information on behalf of project team.
  • Attends and participates in meetings with Clients and Project Team as required.
  • Train new project coordinators, or develop clear training plan to be implemented by others
  • Monitor progress on training and ensure teams are working closely together
  • Build awareness of team members� short term and long-term career interest, and make recommendations as other career opportunities become available.
  • Perform additional tasks and responsibilities, as needed.

Qualifications:

  • Bachelor�s degree preferred, Minimum high school diploma or equivalent; or
  • 8-10 years related experience and/or training; or equivalent combination of education and experience.
  • Experience in multi-site construction projects preferred.
  • Competent working knowledge of data analysis within Microsoft Excel
  • Proficiency in email management tools within Microsoft Outlook.
  • Experience with Smartsheets highly preferred.

Work Conditions:

This is a remote-based role. A highly collaborative environment that flourishes when individual and team contributions combine to achieve target goals and objectives. The majority of work is completed during normal working hours; however, some adjustment may be necessary due to team members working in various time zones. Travel required (0-15%) on an as needed basis.

Pay & Benefits:

The anticipated compensation range for the position is 75,000 - 88,000, is based on a full-time schedule, market and business conditions, and is commensurate on individual education, qualifications, and experience. Benefits include medical, dental, vision, life, and disability insurances, flexible paid time off, paid holidays, sick time, and a matching 401K plan.
