Job Summary 

The Philanthropy Gift Processing Associate is responsible for the accurate and timely processing of gifts, acknowledgements, and donor-related administrative tasks. This position ensures donor records are entered and maintained with precision, providing reliable data for financial reconciliation and fundraising activities. The role also supports donor stewardship through acknowledgements, pledge reminders, and responsive customer service. Success in this role means accurate gift processing, smooth reconciliation with Finance, timely donor correspondence, and high-quality support for fundraising campaigns. Additional duties may be assigned.

 

Position Type/Expected Hours of Work 

This is a full-time position, and regular weekly schedule is Monday through Friday, 9:00 a.m. to 5:00 p.m, with a minimum of three days per week in person at the Association Office. Occasional evening and weekend work may be required as job duties demand.

Hiring Range: $24.00-$26.00 hourly.

Responsibilities:
  • Accurately enter and process gifts, pledges, matching gifts, and in-kind contributions into the donor database.
  • Prepare, commit, and reconcile daily gift batches in alignment with Finance requirements.
  • Generate and send acknowledgements, pledge reminders, declined card letters, and donor receipts.
  • Support donor customer service by answering calls, emails, and voicemails with professionalism and accuracy.
  • Receive, sort, and process donor correspondence and mailed contributions.
  • Assist with mailroom tasks, including printing, folding, stuffing, and preparing outgoing acknowledgements and stewardship mailings.
  • Support campaign-related high-volume gift entry (e.g., year-end).
  • Contribute to donor data integrity through duplicate record checks, exception reports, and hygiene cycles.
  • Maintain and update checklists, SOPs, and gift entry documentation.
  • Escalate system issues, unusual donor situations, or gift discrepancies to senior staff or analysts as appropriate.
  • Collaborate with Finance team to ensure accurate processing of campaign gifts and acknowledgements.
  • Participate in a variety of internal meetings to maintain knowledge of industry requirements, support optimal customer care, and maintain team collaboration.
  • Maintain required minimum qualifications for the position such as licenses, certifications, or credentials.
  • Perform any tasks to assist in keeping a clean, safe, and efficient working environment.
  • Integrate all safety policies and procedures into daily practice.
  • Adhere to all company policies, procedures, and state and federal regulations.
  • Other duties as assigned. The position may also be modified to accommodate the specific needs of the business.

Code of Conduct for Applicants 

Qualifications:
  • Combination of education, training, lived experience, and/or professional background that demonstrates the ability to perform the responsibilities of this role.
  • Experience in data entry, administrative support, bookkeeping, or customer service.
  • Demonstrated accuracy and attention to detail in handling data, records, or financial information.
  • Strong organizational skills and ability to manage multiple tasks under deadlines.
  • Clear written and verbal communication skills with the ability to interact professionally with donors and colleagues.
  • Commitment to equity, inclusion, and continuous learning in professional practice.
  • Ability to pass a criminal background and reference check per organizational policy.

 

Preferred Qualifications

  • Experience working with donor databases, fundraising CRMs, or similar information management systems (e.g., Salesforce/Traction Rec, Raiser’s Edge).
  • Familiarity with donor stewardship practices, acknowledgement processes, or campaign gift processing.
  • Knowledge of mail merge or document generation tools (e.g., Conga, Microsoft Word/Excel).
  • Prior experience in a nonprofit or philanthropy environment.
