The Brokerage Specialist is responsible for managing customer freight needs by sourcing carriers, negotiating rates, booking shipments, and ensuring timely and accurate delivery. This role requires strong organizational skills, attention to detail, and the ability to provide excellent customer service while working in a fast-paced environment. The ideal candidate is motivated, adaptable, and looking to grow within a dynamic logistics organization.
This position can be remote; however, training will be conducted in Casper, WY for a minimum of 120 days.
Responsibilities/Essential Functions:
Identify, vet, and develop relationships with prospective carriers to build a strong carrier network.
Gather shipment requirements from clients or the transportation department.
Obtain shipping quotes from carriers, apply appropriate markups, and present rates to clients.
Book freight services and coordinate carrier assignments for timely pickup and delivery.
Prepare and distribute shipping documents (e.g., BOLs, tie-down procedures).
Monitor shipment progress and proactively communicate updates to customers via email and phone.
Update internal management systems to ensure accurate client and shipment records.
Advise clients and management on potential supply chain challenges and solutions.
Ensure billing accuracy and process freight invoices.
Provide after-hours and weekend support on a rotating schedule (on-call one weekend per month).
Other duties as needed or assigned.
Requirements
Education & Experience Requirements:
Previous work experience in logistics, freight brokerage, or dispatching (required).
Knowledge of trucking operations, regulations, and terminology (preferred).
Billing or accounting experience (preferred).
Strong customer service and communication skills.
Highly organized with attention to detail and ability to multitask effectively.
Self-motivated, independent, and capable of working with minimal supervision (especially in a remote setting).
Ability to adapt to changing priorities and work flexible hours as required.
Proficiency in Microsoft Office Suite and transportation management systems (TMS) is a plus.
Flexible schedule required, including on-call rotation one weekend per month.
Fast-paced office or remote work environment requiring multitasking and independent decision-making.
Work Environment/Physical Requirements:
The physical demands of are generally light and primarily aligned with office-based work unless visiting operational facilities/sites.
Specific requirements include:
Extended periods of sitting at a desk and working on a computer or other digital devices.
Frequent use of hands for typing, writing, and handling office equipment.
Occasional walking during on-site visits to different areas within the organization.
Active listening and clear speech are essential for effectively supporting and coaching leaders and employees.
Ability to lift, carry, or move up to 25 pounds
Ability to wear all required personal protective equipment as required
Exposure to varying weather conditions, including extreme heat, cold, rain, and wind if on location
