Work with international shipments of essential oils & aroma chemicals to customers in the flavor & fragrance industry. Must have knowledge of Import-Export logistics, regulations, and freight forwarders. Prefer HazMat Certification or at a minimum knowledge of HazMat requirements (DOT, IATA, IMDG). Previous experience in the freight forwarding industry is a big plus. Must be capable of performing in a fast-paced & deadline- oriented work environment. Diligence is essential.
Qualifications
Coordinate Import-Export Operations: Facilitate end to end Import and/or Export Processing by collaborating with various internal Departments, Suppliers, Freight Forwarders and Custom Agents to ensure smooth execution of Export Operations, including but not limited to:
- ISF submission
- Order Processing
- Documentation
- Shipping and Tracking
Identify, evaluate, and recommend improvement areas for all import-export processes to appropriate stakeholders on a continues basis to identify efficiency and cost reductions.
Documentation & Compliance:
• Prepare and review import-export documents, such as business invoices, packing slips, certificates of origin and other essential paperwork.
• Ensure compliance with international trade regulations, customs requirements, and import-export control law.
• Stay updated with import/export regulations, trade agreements and industry best practices and communicate with internal stakeholders.
- Conduct periodic audits to ensure adherence to import/export compliance guidelines.
- Work with Purchasing, Customer Care & Sales personnel to coordinate and gather required information.
Freight Management:
- Liaise with freight forwarders and carriers to schedule shipments, negotiate rates and monitor transportation arrangements.
- Coordinate with the Shipping/Receiving Department to ensure timely and accurate loading of export orders and provide paperwork for receipt of inbound shipments.
Customer Support:
- Serve as point of contact for internal departments to address vendor/customers updates and status inquiries, providing shipping updates as well as resolving any issues related to orders.
- Maintain strong relationships with Purchasing, Customer Care, Sales and Customers with timely, accurate information to ensure satisfaction throughout the import/export process.
- Identify and communicate any potential risks and challenges in the import/export process such as custom delays, transportation issues or regulatory changes.
- Participate/contribute to Import/Export order status & process improvement meetings.
- Create contingency plans and take proactive actions to reduce risk and ensure on time delivery.
- Maintain strong relationships with Customer Care, Sales and Customers with timely, accurate information to ensure satisfaction throughout the export process.

- Handle processing of FedEx shipments for all Berje Departments
- Assist in filing/storage of documentation
Education & Experience:
- A relevant Degree or equivalent experience in Supply Chaing Management, International Business or similar area is preferred.
- Proven experience as an Export Coordinator or similar role within the logistics or international Trade industry
- Strong understanding and knowledge of export regulations, customs procedures and international shipping documentation
- Proficiency in Export Software, Computer Systems including ERP systems, MS office and tracking tools.
- Minimum two years of experience in freight forwarding or import/export administration.
- Fundamental knowledge of import-export logistics/regulations/freight forwarder operations
- HazMat/DG Certification is preferred

Compensation -$28.16 an hr. to $37.66 an hr. and eligibility to participate in discretionary bonus programs
