Job Summary
As a Client Services Representative, you will play a pivotal role in fostering strong relationships between our firm, clients, and their investment managers and custodial banks. Your primary responsibility involves the day-to-day management and support of assigned clients, serving as the central point of contact for inquiries and requests related to service, transaction data, and claims. Collaborating with internal colleagues, you'll ensure seamless communication and provide essential support.
Essential Functions / Position Responsibilities
- Create and maintain comprehensive client profiles, encompassing relevant contacts, account/fund structures, and processing preferences.
- Consult with internal colleagues and management to address unique client situations or requirements.
- Act as the primary point of contact for clients, handling incoming and outgoing communications via phone, email, or virtual meetings.
- Conduct periodic checkpoint meetings with clients, reporting feedback internally.
- Confirm clients' account/fund lists, wire instructions, and other relevant processing details regularly.
- Proactively suggest process or report enhancements based on valuable client feedback.
- Engage in regular meetings with managers and/or peers to discuss client issues and resolutions.
Job Specifications
- Education Requirements: Bachelor’s degree required; previous experience considered in lieu of a degree.
- Work Environment: Ability to work from home with a stable high speed internet connection.
- Experience Requirements: Minimum of five years of professional experience; customer/client service and/or financial services experience preferred.
Qualifications
- Strong verbal and written communication skills.
- Ability to work independently with minimal supervision.
- Strong analytical skills with meticulous attention to detail.
- Excellent organizational and time management skills.
- Inherently logical and intuitive nature.
- Basic understanding of securities investments (stocks, bonds, options) and securities portfolio statements.
- Willingness to work overtime as needed with little to no advance notice.
- Openness to being mentored and a strong desire to grow in the role.
Computer Skills Required
- Experience in Microsoft 365, Adobe, DocuSign and Internet browsers preferred.
- Desire and ability to learn and adapt to a wide variety of software, including custodian bank websites, internal databases, and applications.
- Comfortable typing both numeric and alpha characters.
