Job Description
Candidate must have exceptional administrative and communication skills, and a proven ability to handle multiple tasks efficiently in a fast-paced environment across multiple time zone. This role is crucial in ensuring smooth daily operations and effective communication within the executive office and with external stakeholders. This is a full-time position that may require flexible working hours to accommodate global time zone. Calendar management: Extensive organizing and scheduling skill to manage the CTOO calendar, schedule meetings, keep buffer time between the two meetings, block conference room for meeting and appointments. Travel Arrangement: Good knowledge of Domestic & International Travel including transport arrangement, passport, visa, knowledge of time zone in different parts of the world, settlement of expenses. Vendor Management: Knowledge of SAP, FSSC and Purchase order is desirable. Communication Management: Draft and edit reports, presentations, and other documents as needed. Meeting Coordination: Organize and coordinate executive meetings, including preparing agendas. Confidentiality: Handle sensitive information with the utmost discretion and always maintain confidentiality. Office Management: Oversee the maintenance and organization of the CTOO'S office, ensuring a professional environment. Order supplies and manage office equipment as needed. Liaison Role: Act as a point of contact between the CTOO and internal/external stakeholders, facilitating effective communication and relationship management.
