- Coordinate with the Risk Manager and Controller to review, approve, and update contracts.
- Draft, review, and track subconsultant agreements.
- Track contracts, including client agreements, change orders, and amendments while ensuring compliance with company standards, client requirements, and internal procedures.
- Coordinate project tasks to support execution and timely delivery, including scheduling, budget tracking, invoicing, and resource planning.
- Facilitate effective communication among project stakeholders, including clients, engineers, and subconsultants.
- Support Project Managers and accounting staff with accounts receivable (AR) collections and subconsultant invoice review.
- Create, organize, and maintain project documentation such as reports, logs, submittals, and correspondence.
- Ensure adherence to corporate policies, procedures, and governance standards, including document retention and project management protocols.
- Assist the Project Managers in the drafting of routine proposals and provide non-technical quality reviews of project deliverables.
- Assist with quality assurance/quality control (QA/QC) activities,
- Contribute to process improvement initiatives that enhance project delivery and operational efficiency.
- Associate’s degree in Business Administration or equivalent experience required; Bachelor’s degree and/or Project Management Professional (PMP) Certificate a plus.
- 5+ years of experience in a business environment, with 2–5 years in project coordination, preferably within the architecture, engineering, or construction (AEC) industry.
- Familiarity with contract language, lifecycle management, and risk management practices.
- Proficiency with Microsoft Office Suite and comfort learning other relevant software (experience with Deltek Vantagepoint a plus).
- Strong written and verbal communication skills, with the ability to interact effectively with clients, consultants, and team members.
- Excellent organizational and multitasking abilities with strong attention to detail.
- Ability to manage time effectively, work independently, and collaborate as part of a team.
- Problem-solving skills with the ability to assess complexity, propose solutions, and implement improvements.
