IFC is the largest investor in emerging markets private equity and venture capital (PE & VC) funds, with over US$9 billion committed across a portfolio of 400+ funds which in turn have 5000+ underlying portfolio companies. The large majority of these funds are managed out of the Private Equity Funds division (CSFPE) within the Disruptive Technologies, Services, and Funds Department (CSF). CSFPE is seeking a Senior Portfolio Officer to expand its active portfolio and investment support team. This global team has a broad range of responsibilities related to ensuring the agile and responsive management and administration of the private equity funds portfolio. This team is the nexus between the external face of the PE funds team, and the back-end processes, IT systems, accounting booking, and financial reporting, that provide the internal foundation for portfolio management, and a major area of focus for the team is the introduction and enhancement of tools, technologies, and processes that improve efficiency and reduce operational risk for IFC’s funds portfolio.

IFC’s private equity (PE) funds strategy focuses on supporting: (i) growth equity funds; (ii) venture capital funds; (iii) small business funds focused on frontier, FCS, and IDA countries; and (iv) selectively, climate change, infrastructure, and sectors funds. The Department is seeking a Senior Program Assistant to work closely with the PE Funds team (CSFPE), which is responsible for the design, negotiation, structuring, and subsequent supervision of PE fund investment projects. The position will report to the team’s Senior Manager, Global Portfolio and will be based in Washington DC.

Duties and Accountabilities:

Provide all required operational and administrative support for the PE Funds team including:

• Provide high-quality administrative and operational support to HQ-based Senior Manager and CSFPE team.
• Share knowledge of IFC guidelines and procedures for project processing and serve as information resource.
• Ensure effective processing and quality of a variety of documents and correspondence, including appropriate clearances, distribution and filing in iDesk/iPortal.
• Organize travel arrangements and logistics as needed, working closely with Amex, Visa Office and, as necessary, liaising with country offices and external parties.
• Monitor the Time Recording and the Leave and Attendance Systems of the team.
• Assist in the planning and monitoring of project-related activities, (i.e., logistical arrangements for regular meetings and client visits, teleconferences and videoconferences, guest passes, etc.)
• Support knowledge management activities including assisting with PowerPoint presentations, maintaining a knowledge sharing database; coordinating learning events.
• Maintain schedules, scheduling of meetings (including conference calls and video conferences) and providing relevant background materials for meetings.
• Support the logistics for seminars, workshops; and as appropriate work in collaboration with the KM /front office teams.
• Prioritize inquiries and requests received, and channel the same to appropriate team members to ensure timely attention to priority and urgent issues. Achieving effective communication and coordination with the department to ensure tasks are clearly defined; meetings and schedules are properly organized as well as being accessible and respond promptly.
• Show impeccable standards of integrity when handling confidential material.
• Establish good relationship with internal clients, identify and resolve diverse issues.
• Assist in editing and formatting Board Papers for submission.
• Provide basic research support.
• Place orders for office supplies through eService's and maintain its orderly upkeep.
• Organize staff and client meetings as needed. Duties include all logistical coordination, circulation of agendas, meeting notes, filing of materials and decisions, etc.
• Collect industry research reports and team presentations (Internally and externally) and save them on the internal drive.
• Maintain publication subscriptions used by the PE Funds team.
• Proactively handle Senior Manager’s electronic signatures as well as logistics for physical signatures of legal documents and correspondence for CSFPE portfolio in a timely manner and arrange their proper dissemination and filing.
• Support in the organization and coordination of unit/departmental events and learning programs (conferences, workshops, and training programs).
• Contribute to departmental tasks as defined from time to time.

Selection Criteria

• Bachelor’s degree preferred.
• 8-10 years of administrative experience.
• Able to demonstrate ownership and accountability results as well as innovation and creativity.
• Advanced knowledge of IFC's procedures and processes.
• Excellent organization and analytical skills and attentiveness.
• Proficiency in Excel, PowerPoint, Word, and Outlook.
• Ability to set priorities and to work with minimum supervision in a flexible manner to meet changing deadlines.
• Demonstrated ability to be part of an effective team environment with a high degree of motivation, flexibility, and reliability.
• Ability to deal tactfully and effectively with staff at all levels.
• Organizational, administrative, and time management skills with proven ability to work efficiently under pressure and meet tight deadlines.
• Excellent judgment in handling confidential and sensitive information.
• Ability to think proactively and independently, analyze problems and identify appropriate solutions.
• Ability to address multiple tasks in an effective manner. Attention to detail and diligence.
• Excellent team player with outstanding interpersonal skills and the ability to work with people at all levels (inside and outside IFC) with demonstrated maturity, team spirit, and responsiveness.
• Excellent written and verbal communication skills.
• Language: English (Essential)
