Job Description:We’re looking for an Operations Administration Manager to lead and elevate Newhaul’s administrative function across our operations. This pivotal role blends team leadership, process improvement, and hands-on project delivery in a dynamic, growth-focused environment. You’ll ensure our administration team provides consistent, efficient, and proactive support to the business, balancing strategic oversight with practical, day-to-day delivery.
Key Duties & Responsibilities
Team Leadership
- Lead, coach, and develop a team of Administration Officers across Port and Road (Trucking and Workshop) Logistics.
- Allocate and balance workloads to optimise capacity and ensure cross-coverage.
- Conduct performance reviews and establish clear KPIs to drive accountability and growth.
Process Standardisation & Efficiency
- Review, streamline, and standardise administrative processes across all departments.
- Create and maintain shared templates, checklists, and workflows to ensure consistency and quality.
- Monitor compliance with processes and address gaps or issues proactively.
Project Coordination
- Plan, coordinate, and deliver key operational projects, including office moves, FIFO camp establishment, Geraldton Town Halls, and company events.
- Oversee project timelines, budgets, and stakeholder communications to ensure successful delivery.
Operational Support
- Manage recurring business administration cycles, such as performance reviews, payroll deadlines, and procurement schedules.
- Identify opportunities to reduce administrative workload for operational managers, leveraging automation where possible across WHS, Training, and HR functions.
- Build strong, collaborative relationships with Operations leadership and frontline teams.
Skills, Experience & Attributes
- Proven experience in an Administration Manager, Office Manager, or Executive Assistant role, ideally within transport, logistics, mining, or industrial operations.
- Background in working within an agile, lean-structured organisation.
- Experience leading small teams and driving process improvement initiatives.
- Ability to coordinate and deliver projects without requiring formal project management qualifications.
- Strong organisational skills with the capacity to manage competing priorities effectively.
- Excellent communication and relationship-building skills across all levels of the business.
- Proficiency with administrative systems such as Definitiv, Xero, Litmos, MEX, or similar platforms.
