Position Title: Post Funding Document Coordinator (Non – LO – Processor)
Department: Loan Operations
Reports to: Land Operations Team Lead
Job Status: Full/Hourly
Amount of Travel: None
Work Schedule: Hybrid - 2 days in-office, 3 day remote after training
Pay: The expected hiring range for this position is from $19.75 to $21.00 plus additional bonus opportunity. The stated hiring range is based on experience, qualifications, and other relevant factors. Final compensation decisions will take into account a variety of considerations, including individual skills, internal equity, and organizational needs.
JOB SUMMARY
The Post Funding Documents Coordinator is responsible for ensuring Vanderbilt Mortgage and Finance, Inc. (VMF) is in first lien position by examining Deeds of Trust/Mortgages, final title policies, lien releases, and warranty deeds. This role reports to the Land Examiner Team Lead and communicates with title companies, attorneys, and home centers regularly.
JOB FUNCTIONS
- Reviews final title policy for Conventional, Express, Direct, and NOW product types.
- Reviews documents for accuracy and ensures information matches mortgage details, this includes names, dates, recorded information, insurance amounts, counties, and legal descriptions.
- Reviews title work and identifies issues such as judgements, delinquent taxes, and liens.
- Assists Land Examiners with any post-closing issues.
- Assists other team members when volume is high and is responsible for resolving issues as needed.
- Communicates with attorneys, title companies, underwriters, VMF Conversions Department, Retail Home Centers, and customers to process relative information; follows up weekly if required.
- Works with closing agents and county clerks regarding any corrections or re-recordings on the Deed or Trust or Mortgage; correct affidavit documents if necessary.
- Requests checks from Accounts Payable.
- Discusses issues with title companies and attorneys on items that may delay the final title policy; escalate to leadership if not resolved.
- Develops and maintains strong working relationships with all departments within Loan Operations and various other internal teams.
- Reviews filing fees on land applications to ensure compliance with state and federal laws.
- Audits fees utilizing 3rd party resources to ensure the recorded amounts are accurate.
- Requests refunds from title companies on any overcharges.
- Coordinates with the title company and internal audit team to ensure refunds are applied, and a Post-Close Closing Disclosure is prepared.

REQUIREMENTS AND QUALIFICATIONS.
- Education: High School diploma or equivalent required.
- Experience: Minimum of 1 year of experience required, 2 years preferred.
- Basic computer skills with ability to type at least 25 wpm.
- Ability to communicate effectively and efficiently via phone, email, and person to person.
- Capability of gathering facts accurately, analyzing causes, evaluating alternate solutions, and arriving at sound conclusions on action to be taken.
- Knowledgeable of applicable state and federal lending regulations.
- Ability to conduct research and make knowledgeable decisions regarding issues relating to state and federal guidelines.
Possesses a strong team-oriented mindset and ability to communicate in a timely manner.
- Ability to manage multiple and/or conflicting] responsibilities.
- Great attention to detail and organizational skills.
- Ability to work in a team environment.
PHYSICAL DEMANDS:
- Must be able to remain in a stationary position 75% of the time.
- Will be constantly operating a computer and other office productivity machinery, such as a telephone, calculator, copy machine, and computer printer.
- 50% of communication methods completed over the phone.
- Must be able to exchange accurate information at all times.
- Must be able to identify and assess account status and determine appropriate process.
- Will constantly work in a state-of-the-art indoor temperature controlled, sealed window office environment.
