Fennemore has an exciting opportunity in our Phoenix, Arizona office for a full-time Legal Administrative Assistant to join our growing firm. This hybrid position offers the flexibility of two remote days each week following successful training. As a Legal Administrative Assistant, you will provide essential litigation support while also assisting supervising attorneys with highly confidential General Counsel matters. This role is integral to the success of our attorneys and clients, requiring exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced legal environment. The ideal candidate is a skilled professional with litigation experience, a passion for client service, and a commitment to excellence. Responsibilities:

  • Provide litigation support, including heavy calendaring, docketing, and scheduling; 
  • Online research (Pacer and other court filings, agency databases, etc.);
  • Document compilation, review, proofing, and preparation;
  • Coordinates conflict checks and assists with retention letters;
  • Answers telephone calls and transmits messages to attorneys, paralegals, and staff;
  • Files and organizes legal documents and correspondence under the general direction of paralegals and attorneys;
  • Maintains an internal/personal docketing system and follows up on requests made by attorneys, paralegals, and clients;
  • Prepares indexes, file backers, labels, electronic closing binders, and trial/case notebooks;
  • Tracks attorney CLE;
  • Submits court filings, including e-filing;
  • Coordinates the completion of projects with other firm departments as needed; and
  • Other duties as assigned. 

As part of our commitment to collaboration and excellence, this role requires flexibility in daily work schedules during periods of high workload, adhering to departmental and Firm goals and policies, and performing other duties as assigned to support the success of the department and organization. 

Required Qualifications:

  • Minimum 5+ years of legal administrative assistant experience in litigation;
  • Adherence to the highest standards of ethical conduct, especially to standards governing confidentiality and the ability to carefully handle and protect sensitive information;
  • Ability to perform basic online research, including searching court dockets;
  • Proficiency in the common collection of Microsoft Office software, including Word (e.g., headers/footers, TOA’s and TOC’s), Excel, PowerPoint, and in creating, editing, and manipulating .pdf documents;
  • Adaptability to multitask in a fast-paced environment;
  • Superior organizational skills, attention to detail, and the ability to manage several projects to completion on a deadline;
  • Experience with Relativity software; and
  • High school diploma or equivalent.
