Job Summary: 

A Proposal Specialist plays a crucial role in securing continuing and new business opportunities by developing, coordinating, and submitting responses to requests for B2B Request for Proposal (RFP) submissions. The role also includes drafting responses to security assessments, developing company documentation, updating collateral and sales supporting materials. 

This fast-paced role is integral to the success of an enterprise, ensuring that proposals are not only persuasive but also align with the company's strategic goals, client requirements, and security compliance standards.  

You will be working with a tight-knit team, focused on working together to reach company goals, utilizing strong communication skills and project management capabilities. 

Key Responsibilities: 

  • Writing and Editing: Draft, edit, and finalize high-quality, persuasive proposals that clearly communicate the value proposition.
  • Project Management: Lead RFx bid team projects as the project manager from start to finish, answering questionnaires and addressing all other submission requirements (e.g., security assessments, sales supporting collateral, vendor documentation, etc.), ensuring timely delivery.
  • Collaboration: Work with cross-functional teams (revenue operations, sales, marketing, IT/security, finance) across all levels of the organization, to facilitate and support the sales process, retention, core correspondence, RFx and security activities.
  • Content Creation and Maintenance: Coordinate with discipline leaders and cross-functional teams to deliver smart, savvy customer-facing materials, proposals and pitches with flawless execution, updating existing collateral to ensure the strongest business case possible.
  • Content Library Management: Maintain a library of previously utilized proposal and security content for future use within the Loopio platform.
  • Research and Analysis: Understand client needs and requirements to tailor content accordingly.
  • Security Compliance: Respond to complex technical security questionnaires for new and existing customers, highlighting our high security standards.

 

Qualifications: 

  • Education:Bachelor's degree in Business, Communications, Marketing, or a related field.
  • Experience: Several years of experience in proposal writing and business development preferred.
  • Skills:
    • Strong writing and editing skills.
    • Excellent project management and organizational abilities.
    • Strong attention to detail with the ability to target content to address specific customer needs.
  • Ability to work under strict deadlines with minimal supervision.
  • Strong communication and interpersonal skills.
  • Strong problem-solving capabilities and ability to multi-task.
  • Ability to work on complex technical documentation.
  • Proficient in Office365 suite.

 

Preferred Qualifications: 

  • Knowledge of the software as a service industry.
  • Advanced qualifications or certifications in proposal management.
  • Basic skills in creating visual content for sales materials (e.g., customer-facing presentations, charts and graphs).
  • Experience in RFx Software Management and Customer Relationship Management (CRM) tools (e.g. Salesforce, Loopio and Showpad).
  • General knowledge of IT security practices, questionnaires, considerations around data and data privacy, Software Development Lifecycle (SDLC).
  • Experience utilizing AI software (e.g. Copilot).
  • Experience working with an international team.

The salary for this role is $50,000. It is important to Calero that potential candidates for this position understand that compensation depends on numerous factors including the geographic location where the role will be performed, skills required, experience, complexity, travel, and market rate.
