RESPONSIBILITIES
Essential Functions
- Data Entry:
- Enter data from various sources (paper documents, online forms or messages) into computer systems and databases. Scan, enter, update, convert and manage information into a database.
- Ensure accuracy of entered data by cross-checking information and resolving discrepancies.
- Organize and maintain both digital and paper files.
- Client Support:
- Ensure that all reservations received by email or online as well as all adjustment forms for cancellations, refunds, transfers, add-ons, decamped bookings for individual trainees, etc., are processed in an expedient manner.
- Promote courteous customer service.
- Respond to, and whenever possible, resolve customer questions and complaints promptly and in a timely, courteous, and efficient manner.
- Scholarship Administration:
- Work with Scholarship Coordinators and sponsors on updates, registration, forms, and payments of their groups.
- Monitor and proactively monitor individual camper’s missing health forms, scuba forms, and transportation forms.
- Ensure that missing forms are completed and entered into the computer and forwarded to Camp Operations in timely manner that meets deadlines.

QUALIFICATIONS
Required Education
- Minimum high school diploma or equivalent (GED).
Required Experience
- Minimum of 2 years of administrative assistant or customer service experience.
- Computer experience is required. Proficiency in Microsoft Office Suite is required. Must have an above average skill level with Microsoft Excel.
- Experience with making travel arrangements is beneficial.
Other Requirements
- High typing speed and accuracy are essential for the position. A keen eye for detail is crucial to ensure accuracy of data entry. Must be able to organize and manage data efficiently.
- Good communication skills are necessary to collaborate with team members and to clarify data requirements.
- Must be able to adapt to and handle a high stress environment with a consistently pleasant attitude.
- Must be able to handle sensitive information with integrity.
- Meet or exceed the expectations of the Chief of Staff/Executive Director for the timely and accurate completion of related tasks and assignments.
Physical Requirements
This position has the following special requirements:
- Walking and climbing (stairs) to access other departments and buildings.
- Sitting for long periods of time (4-6 hours) while performing data input duties and corresponding with team members.
- Carrying and lifting supplies and equipment up to 30lbs waist high.
- Bending, kneeling, and reaching to experience all areas of the USSRC.
- Sight, reading, wrist movement, and feeling to operate computer terminal, handle documents, and interact with others.

WORK ENVIRONMENT
Environmental Factors
- This position involves working in a climate-controlled office environment. This position deals extensively with individuals and organizations on behalf of the U.S. Space & Rocket Center and the Foundation. This position deals with employees who interact with assigned areas of responsibility.
Expected Hours of Work
- Not to exceed 30 hours per week during the period Monday – Friday, 9 am – 5 pm
