Job Summary:
The Sales Operations Specialist will primarily focus on reviewing and confirming details of orders placed by the US Sales Team for Gymnastics. This role is vital to driving customer satisfaction and increasing conversion rates through effective communication and relationship building. This position is crucial in maintaining precise order accuracy, as well as engaging with potential and existing customers, including Gyms, Coaches and Sales to understand their needs, address concerns, and guide them through the purchasing process. Additionally, this role is seasonal, with peak periods (July through November) and may require extended or overtime hours. Secondary and back up responsibilities may include final order proofing, supporting the compliance and resolutions lead, and assisting with Cheer quotes/orders during peak season.
- Responsibilities:
Create new and/or manage orders, review and confirm artwork, styles, address accuracy, and “Need By Dates” before sending to Scheduling team - Create employee orders (employee discounts)
- Copy orders to correct order type
- Review RDY orders - approvals logged, NAMES reviewed, purchase order checked for accuracy, payor correct, inventory stock levels
- · Contact customer for actions needed or if items are backordered
- · Assist with manually sending Out of Production emails to customers until automated
- · Fix orders, create/change payor
- · Report issues, submit IT tickets
- · Manage assigned open orders, keeping aging below 4 weeks during busy season
- · Work closely with Sales Team to manage customer orders and any follow-up
- · Assist with IT testing on platform, systems, process, new product, CPQ, pricing errors, glitches as needed
- · Provide feedback on pain points and trends for potential improvements
- · Other responsibilities, as needed
Skills and Abilities:
- Thorough knowledge of company product and workflows for Gymnastics, Cheer and Swim
- Strong attention to detail and problem-solving skills; ability to determine solutions for customers
- Ability to work in a fast-paced environment with a sense of urgency
- Ability to organize and manage multiple priorities
- Excellent customer centric focus, sense of urgency and dependability required
- Computer proficiency required including Microsoft products: (Excel, Outlook, Word and PowerPoint)
- Must have advanced communication skills
- Demonstrated aptitude for problem-solving; ability to determine solutions for customers (consultative sales approach)
- Must be results-orientated and able to work both independently and within a team environment
- Must possess excellent verbal and written communication skills
- Reliable attendance is critical to this position
- Ability to communicate (read, write, speak) in English
- Problem analysis and problem resolution at both a strategic and functional level
- Ability to use various technology: Microsoft Teams, phone, computer systems, 10-key, etc.
- Physical Demands:
- Regularly required to sit, move interdepartmentally and throughout warehouse, and lift objects of 15 lbs. (Marginal function: 20 lbs.)
- Visual acuity: able to read charts, graphs, computer monitor, forms
- Education and Experience:
- 2+ years’ experience in an office environment
- College degree or relevant work experience
- Account Management or Customer Service experience is a plus
- ERP experience; Infor M3 experience a plus

- General office environment with standard office equipment
- Exposure to varying office temperatures and distractions
