Sanders Beach Rentals, a premier vacation rental management company serving the Gulf Coast of FL, is seeking a full-time Owner Accounting Specialist to join our Dothan, AL office. The Owner Accounting Specialist is responsible for managing the financial processes related to individual property owners, including work order processing, owner charges, statement audits, and compliance tracking. This role ensures financial transparency, accuracy, and timely communication of all owner-facing accounting functions. All duties and responsibilities of this position are to be performed with exceptional care and genuine service, upholding the gold star standard set by Sanders Beach Rentals. The Owner Accounting Specialist reports to the Director of Accounting and works closely with other departments such as Maintenance, Owner Relations, and Reservations to maintain audit-ready records and clear owner communication.


What You Will Do

  • Review and process each vendor-submitted or internal work order to ensure clarity, accuracy, and readiness for owner-facing statements.
  • Verify invoice detail, prepare each work order for internal leadership review, and revise task description and/or cost as needed before final posting.
  • Enter each recurring or one-time owner charge such as management fees, platform commission, cleaning fee, pool heating charge, special request, or supply replacement.
  • Audit each draft owner statement to identify duplicate entries, confirm charge accuracy, ensure correct charge categorization, and flag discrepancies before finalization.
  • Maintain detailed tracking spreadsheets that document monthly owner charge breakdowns and property-specific recouped item logs to support accurate reporting and audit readiness.
  • Maintain organized digital and physical files for each rental property, including signed management agreements, Florida Department of Revenue sales tax applications, Walton County TDT registration documents, and applicable neighborhood certifications, ensuring all owner files are complete, current, and audit-ready.
  • Monitor each compliance requirement, track certification deadlines, and manage submissions for the Walton County Short-Term Rental Program.
  • Coordinate with local authority on compliance-related questions and ensure that certification documentation is up to date.
  • Assist in compiling and reviewing each owner-facing P&L report including snapshot, trend analysis, and comparison.
  • Create owner-specific revenue summary reports and provide monthly financial performance updates as needed.
  • Onboard each new owner and property into internal systems and required online platforms to ensure a smooth transition and accurate recordkeeping.
  • Process 1099 cleaner payroll and verify that all labor charges are correctly assigned to the corresponding owner and property.

Keys To Success

  • Ability to manage confidential financial information responsibly.
  • Clear written and verbal communication skills, especially in owner-facing correspondence.

Requirements and Qualifications:

  • Proof of eligibility to work in the United States
  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field 
  • 2+ years of accounting, bookkeeping, or financial reporting experience, preferably in hospitality or vacation rentals
  • Valid Driver’s License
  • Ability to travel to Santa Rosa Beach, FL as needed
