Terms of Employment:  Permanent, 10 Month Position

 

Nature of Work

The receptionist provides essential support for the daily operations of the school office. This role serves as the first point of contact for visitors, families, and community members, ensuring a welcoming and professional environment. Responsibilities include answering and directing phone calls, assisting with clerical and administrative tasks, supporting school staff and administrators, and monitoring school safety protocols. Work is performed under the supervision of the principal.

 

Qualifications and Licensure

  • High school diploma or equivalent required.
  • Experience with greeting and receiving the public, preferred.
  • Experience in a school office setting is preferred.
  • Ability to use proper English, grammar, spelling, vocabulary, and punctuation.
  • General knowledge of modern office methods, procedures, and equipment.
  • Proficiency with technology, including word processing, email, and data entry.
  • Ability to maintain confidentiality of sensitive information. 

Duties and Responsibilities 

  • Greets and assists visitors to the school in a professional and courteous manner.
  • Monitors visitor access; ensures all visitors sign in, wear identification, and follow school safety protocols. 
  • Receives telephone calls, provides excellent customer service, screens and directs calls, and takes accurate messages. 
  • Receives, sorts, and distributes incoming mail and school communications.
  • Maintains confidentiality of sensitive information and materials at all times.
  • Composes correspondence, memos, reports, and other documents as requested.
  • Operates and maintains office equipment.
  • May assist the secretary or bookkeeper with checking in orders and distributing supplies as needed. 
  • Relays announcements and messages to staff, students, and families. 
  • Assists with school communications, including newsletters, notices, and emergency contact lists. 
  • Monitors and assists students in the office for reasons such as illness, discipline, dismissal, or other needs, ensuring their safety and well-being.
  • Provides basic first aid to students if trained and notifies the school nurse or parent/guardian when necessary.
  • Able to use the North Carolina Students Information System (NCSIS) to look up information pertaining to a student. 
  • Assists and supports during emergency and safety procedures during lockdowns, first drills, or evacuations. 
  • Performs other duties as assigned by the Principal. 

Physical Requirements (if applicable)

  • Work requires the occasional exertion of up to 10 pounds.
  • Work regularly requires speaking or hearing, frequently requires standing, walking and sitting and occasionally requires using hands to finger, handle or feel, stooping, kneeling, crouching or crawling, reaching with hands and arms, lifting and repetitive motions. 
  • Work has standard vision requirements. 
  • Vocal communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly. 
  • Hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and/or to make fine distinctions in sound

Special Requirements (if applicable)

  • General knowledge of standard office and receptionist procedures, including the operation of a multi-line phone system.
  • Ability to speak clearly and communicate effectively, both orally and in writing.
  • Ability to understand and follow oral and written instructions.
  • Ability to establish and maintain effective working relationships with students, staff, parents, administrators, and the public.
  • Ability to work positively and professionally with all school stakeholders.
  • Demonstrates cultural sensitivity and respect when working with diverse school communities.
  • Maintains strict confidentiality regarding student, staff, and school matters.
