Function/Duties of Position:The School of Dentistry Group Practice Coordinator (GPC) provides administrative support to the Integrated Group Practices (IGPs) of the pre-doctoral, DMD (Doctor of Medical Dentistry) practices, pre-doctoral Urgent Care Practice and Admitting/Intake, pre-doctoral Endodontics, and community learner partnerships, such as Portland Community College and Mt. Hood Community College. This administrative support is integral to the clinical education of dental students during the provision of dental care. Coordination of the dental student training in the clinical environment includes experiences associated with patient intake, scheduling, appointment flow, and patient check-out. Coordination is also provided for assessment of completed and timely electronic health record charting, patient contact and follow-up, student attendance, CSA (Clinical Skills Assessment) tracking, and communication with GPC, Group Practice Leaders, fellow students within and between Integrated Group Practices, and other dental faculty.
This position contributes to the development of teamwork and calibration within and across IGPs. The main position responsibilities include interfacing with Group Practice Team leaders (faculty), dental assistants, clinic administration, and the Office of Academic and Clinical Systems to maintain logistical and patient care centric practices. This position is integral to the creation of a culture of adherence to clinic policy and procedure vital to the management of risk for students, faculty and patients. This position operates with strict adherence to HIPAA and FERPA guidelines. This position interacts with Patient Support Services and the Office of Clinical Systems to insure provision of patient care consistent with the mission and vision of the School of Dentistry at OHSU.
A single GPC may be associated with a single Integrated Group Practice, may provide services across Group Practices as needed or may be associated with the group of services provided by dental students in pre-doctoral Urgent Care Practice and Admitting/Intake, pre-doctoral Endodontics, and community learner partnerships. Project work, committee service, clinic maintenance, and training of other personnel as needed is included. As needed, this position may float to other departments during inactive clinic times, as determined by the supervisor.
GPC is a clinical/administrative role that is vital in the support of the work of dental students and group leaders through independently performing a variety of administrative, patient experience and technical functions.
GPC manage and support 3rd and 4th year dental students providing practice management reports and reminders to dental students in order to help them maintain timely patient care and focus on the clinic experiences they need to meet graduation requirements.
Required Qualifications:- Four years of general office or secretarial experience; OR
- Associate's degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR
- Bachelor's degree and two years of general office or secretarial experience; OR
- An equivalent combination of training and experience
- Experience working in a clinic/practice setting (dental or medical)
- General computer skills including the Microsoft Suite (Outlook email, meeting scheduling, Excel, and Word)
- Medical terminology
- Ability to clearly explain procedures and train others on basic processes
- Demonstrable record of reliable attendance, punctuality and proven successful performance at past and present employers
- Demonstrated record of exemplary customer service experience; ability to handle difficult people and situations with diplomacy and tact
- Excellent written and oral communication skills
- Able to exercise discretion when dealing with issues of a sensitive nature
- Able to multi-task and demonstrate efficiency and high productivity while working in an environment with many interruptions, distractions and limited physical space while keeping a good attitude
- Bachelors' in Business Administration, Bio-health Science or Healthcare Administration
- 4 years of dental office experience
- Experience in Microsoft Teams
- Dental terminology
- Experience with dental software (preferred axiUm) to include patient scheduling, insurance, collections, monitoring office reports and electronic patient records
- Experience in the dental school clinical settings
