Hourly Rate: $28.50 (equivalent to $59,280.00 annually)

Purpose of the Role:
As an Enrollment Coordinator, you will be the initial contact for parents who are interested in receiving financial assistance for subsidized childcare. You will be responsible for providing information and support regarding the Child Care Payment Program (CCPP) Family Services eligibility and requirements.

- Read and interpret documentation accurately (calWIN screen prints) for eligibility purposes; problem solving and conflict resolution skills; solution oriented and team player; keen attention to detail, enter family’s information in our database to reflect family’s eligibility determined at initial screening.
- Knowledge of windows/outlook, data entry and word processing programs. General clerical, office and record keeping procedures and practices. Great telephone, office and online etiquette. Able to read simple charts, tables and schedules. Use copy, fax, scanner and file cabinets in a safe and efficient manner.
Summary of Responsibilities:
- Screen and evaluate information and documentation provided by families to determine eligibility based on program funding criteria; prioritize applications according to guidelines; and accurately assess for enrollment; explain program and admission requirements to families.
- Schedule enrollment appointments with case management staff; collect eligibility documentation and contact collaborating agencies to complete documentation requirements according to guidelines; track families through initial enrollment.
- Maintain weekly enrollment reports and statistics for budgeting purposes.
- Conduct outreach to educate and inform families; participate in health and community fairs as a way to offer subsidy to families in need of childcare assistance.
- Perform a wide variety of general clerical functions; compile, copy, scan, fax, shred, and retrieve, log and distribute documentation to appropriate staff and/or collaborating agencies.
- Maintain an internal waiting list of families interested in childcare subsidy to parents with eligible children.
- Respond promptly to daily inquiries concerning childcare services to ensure excellent customer service goals are met; provide internal and external support to expedite processes affecting all departments.
- Collaborate with County Welfare Department, Employment Services and other partnering agencies to facilitate an applicant’s enrollment.
- Contribute to team effectiveness and success by completing various other assignments, projects, audits, and reports, as needed.
- Represent the Agency, ensure respect for the background and needs of all children, families, providers, and staff members; promote an appreciation for and understanding of cultural backgrounds and lifestyle diversity.
- Evaluate own performance to identify needs for professional growth; establish avenues for feedback from supervisors, peers, parents, and Agency.
- Participate in the development and implementation of goals, objectives, and procedures for the Agency.
- Participate in health and community fairs as a way to offer subsidy to families in need of childcare assistance.
Position Requirements
Human Services background or related field preferred; strong detail oriented and general office related experience and/or training; or equivalent combination of experience in which prioritization and organization skills were necessary.
Work Schedule: Full-time, Monday—Friday, 40 hours per week, 8:30 AM to 5:00 PM. However, may require evening and weekend hours based on the needs of the program.
