Our client, Fitler Properties, is seeking an Office Manager to join the team. Established in 2018, Fitler Properties is a construction and property management company serving the Philadelphia communities. Specializing in providing off-campus and affordable/subsidized housing options for Penn, Drexel, and market-rate tenants. Fitler Properties takes a hands-on approach to the rental process.
The Administrative Assistant provides general office and administrative support to our team by performing tasks such as maintaining calendars, replying to front end emails for potential new clients, assisting with basic bookkeeping, and other responsibilities.
Essential Responsibilities Include:
1. Manage office administration (eg: communication, documentation, data management).
2. Open/distribute mail and process outgoing mail.
3. Assist in compiling/preparing data to ensure all annual/quarterly agency audits/reports are completed.
4. Perform bookkeeping tasks such as data entry and reconciling.
5. Manage calendars/appointments for the team (ie: scheduling appointments, ensuring team is kept on schedule, etc.).
6. Maintain systems, procedures, and methods for record keeping and reporting.
7. Manage phone and email correspondence to ensure clients are responded to in a timely manner.
8. Oversee the day-to-day functioning of the office, ensuring that administrative processes run smoothly.
9. Track stocks of office supplies and place orders when necessary
10. Contribute to the team effort and company profitability.
11. Answer multi-line phone systems and direct incoming calls to appropriate personnel.
12. Assist Leasing Agents (eg: rental licenses, communication with tenants) and other team members as needed, most notably during peak seasonality.
Highly Qualified Candidates Will Possess Most or All of the Following:
- High school diploma or equivalent required.
- Two or more years’ office administration experience.
- Two or more years’ bookkeeping experience.
- Experience working in AppFolio strongly preferred, but not required.
- Experience in Property Management and rentals is a plus, but not required.
- Ability to execute upon multiple tasks and assignments in an organized, confident, and professional manner, showing a high degree of emotional intelligence.
Schedule: Monday through Friday, 8:30am to 4:30pm or 9:00am-5:00pm.
