Position: Residential Administrative Assistant

Location: Woodbridge, VA 22193
Organization Type: Non-Profit Agency Supporting People with Developmental Disabilities
Employment Details: Full-Time, On-site, 40 hours per week, Monday – Friday 8:30am to 5pm (30-minute lunch break). Position Summary: The Residential Administrative Assistant is responsible for residential housing to include banking of all agency residential group homes and Supported Living Program and supporting the Residential Director with administrative tasks. These main responsibilities include completing housing paperwork, recertifying housing annually for individuals, maintaining leases for the agency and individuals, providing client notifications, assisting with residential filing system, scanning all correspondence from housing and Social Security Administration (SSA) and vehicle billing/ModivCare.

Responsibilities: 

  • Banking duties for all residential programs and reviewing for accuracy to include:
    • Entering all requests for funds in QuickBooks
    • Entering monthly deposits of SSA/SSI and paystubs in QuickBooks
    • Reconciling bank accounts monthly between Wells Fargo and QuickBooks
    • Providing monthly bank balances to Residential Program Managers, Associate Directors, Director of Billing and Director of Residential Services
  • Review and submission of housing grant paperwork to the Director of Billing
  • Recertifying individuals annually with PWC housing according to HUD requirements 
  • Maintaining all leases for the agency and the individuals
  • Providing client notifications to accounting with rent changes
  • Supporting the Residential Director with administrative tasks
  • Scanning/assisting with the residential filing system
  • Scanning all correspondence from SSA, Medicaid, Department of Social Services and housing
  • Working towards the executive filing system being electronic Sherry isn’t in the executive office-she maintains the residential filing system not the executive one.
  • Vehicle billing/ModivCare
  • Reviewing all documentation for accuracy prior to submission 
  • Other duties as assigned

Education and Experience Required:

  • High school diploma or equivalent education required
  • Three years of administrative assistant experience
  • Experience with QuickBooks 
  • Accounting knowledge (preferred)

Qualifications/Skills Required:

  • Strong work ethic, client service orientation, attention to detail, and self-starter attitude required.
  • Strong computer skills to include Microsoft Word, Excel, Outlook, and Adobe Acrobat.
  • Excellent communication (both oral and written) and interpersonal skills.
  • Attention to detail
  • Ability to work with all levels of management and anticipate support requirements.
  • Ability to exercise independent judgement with minimal supervision.
  • Ability to maintain a high degree of confidentiality regarding agency, staff, and clientele matters.
  • Ability to maintain a professional appearance at all times.
