POSITION PURPOSE

The HR Coordinator will support the HR department with day-to-day administrative tasks. Provides general administrative support to the HR department and first-level support to teammates through involvement in various HR processes including, but not limited to, benefits, orientation, onboarding, recruiting, and compliance.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

ESSENTIAL FUNCTIONS 

  • Provide administrative support to the HR department and the Chief People Officer. This includes scheduling meetings, correspondence, and information preparation.
  • Support recruitment by scheduling interviews, reserving conference rooms, greeting candidates, and coordinating candidate communications to ensure a smooth and professional candidate experience.
  • Assist with the onboarding process for new hires, including preparing new hire packets, coordinating orientations, and ensuring all necessary paperwork is completed. 
  • Support benefits administration by assisting with enrollment, answering employee questions, and maintaining benefits records. 
  • Assist in organizing company events, training sessions, and employee recognition programs. 
  • Review, process, and triage inbound communications through standard mail, email, voicemail, and service requests to appropriate teams within service level agreements within the case management system.
  • Prepares the HR board reports, gathering all the information from each function, compiling the information, and developing the report. 
  • Provide excellent customer service in responding to incoming calls and communications from employees and candidates. Effectively address customer questions and concerns within the scope of responsibility.
  • Maintain a welcoming, safe, and secure department reception area by promptly greeting guests, employees, and candidates, providing guidance, distributing forms/documents, and answering procedural questions by IndyGo procedures, policies, and regulations.   
  • Process incoming mail, ensuring timely delivery to whom it is intended.
  • Oversee the department’s office supply inventory and small purchase orders, per the procurement guidelines.   
  • Assist candidates with applying for positions virtually and utilizing onsite computers.
  • Help ensure compliance with company policies and procedures by distributing policy updates and assisting with employee communications.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Proficiency in computer use, including proficiency with Microsoft Office.
  • Ability to operate office equipment, including copiers, fax machines, and phones.
  • Ability to prioritize, organize, and manage tasks and time effectively

EDUCATION AND/OR EXPERIENCE

To perform this job successfully, an individual must have the following education and/or experience.

 

  • Some advanced coursework in areas such as accounting or Microsoft Office is preferred 
  • A minimum of 5 years of HR or administrative/executive assistant experience preferred
