Our Los Angeles office, ranked one the city’s “Best Places to Work,” is seeking a proactive Executive Assistant to support the head of the firm’s fast-paced entertainment group. The role also includes serving as Executive Assistant to the Supervising Partner of the LA office, providing support on office management, marketing, and firm initiatives.
This is not a traditional legal assistant position. The role combines the executive function and client-facing responsibilities required of executive assistants at top talent agencies, management companies and studios with the organizational and administrative excellence required of legal assistants at leading law firms. The successful candidate will be motivated, responsive, outgoing, and personable—someone who brings positive energy and professionalism to every interaction while handling the fast-paced demands of high-profile clients, executives, and counsel.
PRIMARY RESPONSIBILITIES
Attorney/Talent Practice Support
- Manage a demanding calendar of meetings, calls, videoconferences, and events with a wide variety of clients, including talent, producers, and their representatives, as well as studio executives, and counsel both inside and outside the firm.
- Anticipate scheduling needs, resolve conflicts, and ensure seamless coordination across multiple time zones.
- Track and organize active and inactive client matters, contracts, agreements, and deal documents; retrieve, summarize, and brief attorney as needed.
- Serve as a confident first point of contact with clients and their representatives, projecting professionalism and discretion.
- Handle confidential correspondence, document preparation, and redlining.
- Coordinate execution of multi-part and multi-party agreements.
- Prepare client engagement and retainer agreements.
- Assist with time entry, billing and expense reporting.
- Coordinate domestic and international travel, including agendas and briefing materials.
- Perform other related duties as assigned.
Supervising Partner Support
- Assist the Supervising Partner with office-wide responsibilities, including marketing, recruiting, events, attorney support, and administrative initiatives.
- Help coordinate Los Angeles office events, industry sponsorships, and speaking engagements.
- Support office management functions such as scheduling internal meetings, liaising with New York office leadership, and tracking local projects.
QUALIFICATIONS
- Bachelor’s degree required.
- Minimum 3 years of relevant experience as an executive assistant or administrative professional supporting high-level executives, talent agents, managers, or attorneys.
- Strong interpersonal skills with a polished and approachable demeanor; able to interact comfortably with high-profile clients and colleagues at all levels.
- Proven ability to manage complex scheduling and logistics in a fast-paced, client-driven environment.
- Exceptional time management, organizational skills, attention to detail, and ability to anticipate needs and remain unflappable under time constraints and high-pressure situations.
- Ability to exercise discretion and maintain strict confidentiality.
- Proficiency in Microsoft Word and Outlook; experience with billing and expense systems a plus.
