The Lead Medical Assistant (MA) plays a critical role in supporting the clinical team and ensuring efficient, high-quality patient care. This individual serves as both a clinical resource and a mentor to other Medical Assistants, fostering a collaborative environment while promoting best practices in patient care. The Lead MA also assists in day-to-day clinical operations, ensuring smooth workflow, and adherence to clinical protocols within the Patient-Centered Medical Home (PCMH) model.


Primary Duties and Responsibilities


Clinical Leadership:

  • Provide guidance, support, and mentorship to the Medical Assistant team, acting as a clinical resource for questions and troubleshooting.
  • Assist in onboarding and training new Medical Assistants.
  • Monitor the performance of Medical Assistants, offering feedback and ensuring compliance with clinical protocols.
  • Collaborate with the clinical team to promote patient safety, quality care, and infection control practices.

Patient Care:

  • Assist in direct patient care, including vital signs, rooming patients, administering vaccines, drawing blood, and preparing patients for exams and procedures.
  • Support clinicians with minor procedures, specimen collection, and documentation in the Electronic Health Record (EHR) system.
  • Educate patients on health maintenance, chronic disease management, and preventive care under the direction of clinicians.

Operational Support:

  • Ensure exam rooms are stocked and maintained, managing clinical supplies and inventory.
  • Manage vaccine inventory and cold chain processes for all stock types to ensure timely and safe access to immunizations.
  • Coordinate daily MA staffing and patient flow to maximize provider efficiency and reduce patient wait times.
  • Assist in maintaining accurate and complete patient records, ensuring all clinical documentation is completed in a timely manner.

Quality Assurance:

  • Participates in quality improvement initiatives and projects aimed at improving clinical outcomes and patient satisfaction.
  • Ensure compliance with organizational policies, regulatory requirements (HRSA, OSHA, etc.), and PCMH standards.
  • Conduct audits on clinical procedures, equipment checks, and infection control measures as needed.

Communication & Collaboration:

  • Facilitate clear communication between clinical staff, providers, and patients to ensure coordinated care delivery.
  • Attend and contribute to regular clinical and operational meetings.

Requirements

  • 3-5 years of experience as a Medical Assistant required, preferably in a community health setting.
  • High school diploma or equivalent required.
  • Completion of an accredited Medical Assistant program required.
  • Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) required.
  • Bilingual English/Spanish proficiency required.
  • Current CPR certification.
  • Strong clinical skills in patient care, specimen collection, and clinical procedures.
  • Excellent communication and interpersonal skills to foster a collaborative team environment.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Proficiency in Electronic Health Records (EHR) and Microsoft Office applications.
  • Prior leadership or supervisory experience preferred.
