Outpatient Operations Specialist Opportunity:
The Outpatient Operations Specialist assists and supports the Outpatient Director in ensuring day-to-day functioning of outpatient services through the delivery of high-quality care. The position focuses on collecting and monitoring performance metrics, to ensure compliance with regulatory standards and support quality initiatives. The Specialist ensures that quality person-centered care is provided to patients and clients who are served in Outpatient by ensuring adherence to applicable DHS regulations and Joint Commission Standards and program policies/procedures are followed. The specialist works collaboratively with Outpatient leadership, Revenue Cycle programs and all leadership throughout NCHC, and community partners.
Compensation and Benefits:
- The pay range for this role is $26.59 - $28.95, based on experience and education.
- This is a full-time, on-site position working weekdays 8:00am – 4:30pm.

What Qualifies You:
Required Education and Experience:
- Bachelor’s degree from an accredited institution
- Two or more years of experience in outpatient health care or a related area.
- Valid WI drivers license and use of a personal vehicle
- Excellent customer service skills
- Intermediate knowledge of computers and computer programs such as Microsoft Word, Microsoft Excel, Outlook Email, etc.
- Ability to establish and maintain positive working relationships with interdisciplinary team including physicians, therapists, and nurses.
- Ability to effectively communicate in both written and verbal forms
- Keyboarding skills including ability to use an Electronic Medical Record
- Exceptional phone etiquette
- Ability to accurately gather, interpret and track data
- Ability to multi-task
- Excellent attention to detail
Preferred Qualifications:
- Bachelor’s degree in human services or healthcare administration related field
- Prior experience working in an outpatient clinic setting
- Previous leadership experience
What an Outpatient Operations Specialist does at NCHC:
- Assists Director with the day-to-day operations of assigned team(s) with responsibilities for data collection, data analysis, quality assurance within the outpatient department, and overall operational outcomes.
- Gather data from various sources including electronic medical record, surveys, and reports.
- Design and implement data collection processes that promote compliance and accuracy.
- Ensure data integrity through regular audits and quality checks.
- Ensures compliance with relevant federal, state, and regulatory/accreditation regulations.
- Works with Director on operating budget performance related to Outpatient services.
- Coordinates onboarding of new staff.
- Works in conjunction and collaboratively with Patient Access Manager to ensure efficient operations and reduce write-offs.
- Coordinates response and documentation for incident reports.
- Operationalizes master schedules created by Patient Access for all Outpatient providers.
- Coordinates onboarding of new staff.
- Provides financial support through resource allocation and budgetary adherence
- Assists Director with workflow optimization and works with IMS to enhance efficiency within the department
- Pulls data/prepares reports to provide administrative assistance in departmental improvement.
- Represents Outpatient as requested on agency and community committees.
- Partner with Quality department to identify regulatory trends (NRC, TJC, DHS) to present to Director to help inform policy/procedure/operational/clinical change.
- Involvement and leadership in activities related to Quality Improvement.
- Facilitates department meetings as needed.
- Orders supplies as needed.
- Assist with policy & procedure development as needed.
