Position Overview
The Patient Coordinator is the first point of contact for patients and families in our orthodontic office. This role is responsible for creating a welcoming environment, managing the patient flow, and ensuring an exceptional experience from the first phone call through treatment completion. The Patient Coordinator supports the clinical and administrative teams by handling scheduling, communication, and coordination of patient care.

Key Responsibilities

  • Greet and check in patients and families with warmth and professionalism
     
  • Manage phone calls, emails, and online inquiries; respond promptly to patient needs
     
  • Schedule and confirm patient appointments, consultations, and follow-ups
     
  • Coordinate new patient exams and consultations, including gathering records and insurance details
     
  • Guide patients through their treatment journey, answering questions and providing clear communication about appointments, procedures, and office policies
     
  • Collect and update patient information, ensuring accuracy in the practice management system
     
  • Process patient paperwork, consent forms, and insurance information
     
  • Partner with clinical and financial teams to support seamless patient care
     
  • Maintain a clean, organized, and welcoming reception area
     
  • Assist with patient reminders, recalls, and follow-up communications
     
  • Support office goals by participating in marketing, outreach, and referral activities as needed
     

Qualifications

  • Previous dental or orthodontic office experience preferred, but not required
     
  • Strong interpersonal and communication skills with a friendly, patient-centered approach
     
  • Highly organized with the ability to manage multiple tasks in a fast-paced environment
     
  • Comfortable using computer systems and scheduling software (orthodontic/dental software a plus)
     
  • Attention to detail and accuracy in handling patient information
     
  • Ability to work well as part of a team and support office operations
