Overview:

Novant Health seeks a full-time Administrative Specialist II within the Respiratory Care department at Presbyterian Medical Center.

  • Schedule: 8am - 5pm, Monday - Friday (No holidays or weekends)
  • Department: Respiratory Care
  • Location: Presbyterian Medical Center – Charlotte, NC

The Administrative Specialist II provides both administrative and clerical support to the department, either as part of a team or individually to ensure the administration and smooth running of departmental business. Serves as resource to staff.

Qualifications:
  • Education: High School Diploma or GED, required. Education in basic office procedures, required.
  • Experience:  Two years of administrative support experience, required. Administrative support experience, preferred.
  • Additional Skills (required):
    • Ability to effectively communicate with physicians and hospital staff. Ability to use a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases; Ability to successfully complete generic and department-specific skills validation and competency testing.Communication: Creates an environment that supports and respects diversity to promote creative problem solving. Communicates the value of activities within the organization and community to gain cooperation and collaborative partnership.
    • Customer Service: Holds staff accountable for customer service standards and ensures service recovery when needed. Ensures staff responds to customers in a timely manner.

    • Digital Fluency: Proficiency with Microsoft Office 365, specifically Excel, Word, Teams, and PowerPoint.

Responsibilities:

It is the responsibility of every Novant Health team member to deliver the most remarkable patient experience in every dimension, every time.

  • Greet and assist visitors to the department. Answer all incoming telephone calls routing each caller to the appropriate place and providing accurate information in a courteous manner. Type all correspondence for leader: memos, letters, minutes, agendas, etc.
  • Maintain calendars for managers. Arrange Meetings and/or events as well as conferences, conference calls and video conferences. Contact participants, check for availability. Attend assigned meetings, record minutes and maintain meeting attendance records.

  • Submit requests for disbursement to Accounts Payable. File Expense Reports. Collect invoices for department services, if applicable. Develop, monitor and reconcile the budget.

  • Oversee departmental timekeeping duties including researching discrepancies and correcting as appropriate. Complete timekeeping duties accurately and by prescribed deadlines. Track attendance occurrences and submit reports to the supervisor and director as requested for tracking, follow-up, determining the need for corrective action and distributing reports to the appropriate areas.

  • Order supplies and maintain inventory for department. Complete requisition and send to Purchasing Department or vendor. Receive and distribute supplies.

  • Collect and organize material to be presented in final form. Assist with electronic presentations to include charts, tables, graphs, PowerPoint and other reports.

  • Process requests for employee access in a timely manner. Audit departments for compliance with Novant’s security standards. Maintain access records on each employee for compliance standards. Terminate accesses that are no longer needed. Terminate accesses on termed employees.

  • Create and execute practical, scalable, and operational tasks. Work closely with team members to monitor and evolve practices for continuous process improvement.
