Business Support Specialist II - Fleet Administration

The City of Colorado Springs is ready to welcome a Business Support Specialist II to the Support Services Department and Fleet Maintenance Division. As a Business Support Specialist II, you will perform a variety of clerical tasks such as managing maintenance schedules, general accounting/bookkeeping, scheduling and correspondence.  This position will undertake technical duties as assigned and provide information and assistance regarding department-specific policies and procedures.

As a Business Support Specialist II, you will: 
  • Coordinate all preventative maintenance appointments for the fleet; serve as the primary point of contact for internal City departments regarding maintenance scheduling, updates, reschedules, and inquiries
  • Support ongoing improvements to preventative maintenance scheduling processes and related procedures
  • Perform a variety of complex clerical and administrative tasks in support of Fleet Maintenance operations
  • Prepare reports, memoranda, correspondence, and other written materials as needed
  • Maintain calendars for assigned staff, including scheduling meetings, activities, and events
  • Serve as the first point of contact for office visitors and callers; greet and assist individuals professionally and direct them to the appropriate department or personnel
  • Respond to questions, complaints, and requests for information regarding department policies, procedures, and systems via phone, email, and the customer relationship management (CRM) system
  • Research and resolve customer concerns by logging, tracking, and following up on all inquiries and issues using the appropriate systems
  • Use a variety of software tools to enter data, research information, and support administrative and customer service tasks
  • Provide solutions to routine and complex issues by answering questions and offering guidance
  • Maintain accurate and organized manual and electronic records to support fleet administrative processes

We are looking for candidates who demonstrate:
  • Proficiency with Microsoft Office (Word, Excel, SharePoint, PowerPoint, and Outlook)
  • Excellent language, reading, writing, and spelling skills
  • Ability to pivot tasks quickly and consistently demonstrate efficiency and flexibility
  • Ability to manage time effectively

Position Duties

  • Equivalent to completion of the twelfth grade (high school diploma or GED)
  • Three years of full-­time administrative support, clerical, or related support experience

Minimum Qualifications

  • Experience working in a fleet or other automotive environment
