Description
Under the general supervision of the VP, Compliance Officer, the Facilities & Security Officer is responsible for developing, implementing, and administering all aspects of the Bank’s Security Program and for the oversight and administration of building maintenance and upkeep related to properties, facilities, office service operations and maintenance by working with vendors, contractors, and agencies.
Facilities
- The Facilities & Security Officer is responsible for selecting, contracting, and directing the activities/services of third-party vendors engaged in the installation and maintenance of equipment, utilities, care, and efficient operations, at all facilities used by the organization to maintain a suitable and safe working environment.
- Responsible for the security, general upkeep, and maintenance of Savers Bank properties to ensure they reflect the company’s Simply Better image.
- Ensures properties meet the legal and regulatory requirements as well as health and safety standards. Keeps abreast of ADA rules and requirements, makes necessary adjustment to ensure compliance.
- Regularly inspects properties to determine the need for maintenance, repairs, or renovations (office buildings, out-buildings, parking lots, equipment, etc.).
- Plans, schedules, and coordinates all maintenance and refurbishments performed at all Savers Bank locations. (Includes cleaning services and landscape maintenance).
- Responsible for maintaining a budget associated with maintenance, repairs, refurbishments, renovations, and other similar services.
- Manages the upkeep and applicable inspections of building equipment on the property (i.e., generators and elevators, HVAC, furnishings, etc.).
- May perform general maintenance for which a vendor is not necessary (changes light bulbs, hangs artwork, programs HVAC unit, and resolves basic plumbing and electrical issues).
- Schedules and manages specialty work performed on Savers Bank properties to ensure they meet the needs of the organization and its associates (includes obtaining bids if prudent to do so)
- On occasion, may have responsibility for changing locks on foreclosed houses, ensure that all the mechanicals are working properly. May contract necessary subcontractors to complete the work.
- Coordinate renovation projects for new and existing buildings by working with project managers, contractors and internal stakeholders to ensure alignment with organizational goals and standards.
- Serve as a member of the Bank’s building committee, regularly collaborate with the Board of Directors and executive management; responsible for setting meeting agenda, coordinating logistics and preparing and distributing meeting minutes
- Proactively communicate with executive leadership regarding facility related issues, including planned outages, closures, maintenance events and other operational impacts
- Oversees tenant occupied bank owned properties; coordinates with third party property management company to ensure proper maintenance, lease compliance and positive tenant relations
- Manage the Bank’s courier program and a Courier Assistant ensuring the safe and secure delivery of all sensitive information
- Responsible for the management and upkeep of the company vehicle, including scheduling maintenance and maintaining accurate usage and service records
Security
- Responds promptly to all security incidents or emergencies, including break-ins, threats, robberies or other suspicious activities
- Continuously monitor and develop the overall security program, including policies, procedures, and security equipment and provide recommendations for continuous improvements to the safety and security of the bank’s assets, employees, and customers.
- Selects and maintains appropriate security equipment, cameras, and alarms throughout the bank.
- Conducts quarterly security inspections and audits at all branch locations
- Provides annual and ongoing security and emergency procedures training to all bank staff and to new employees.
- Responsible for managing access control systems, such as keyless entry, keys, and door codes for all Bank locations.
- Coordinates and communicates security activities with various law enforcement agencies and/or Bank counsel as well as internal Bank departments to uphold the safety and security of the Bank.
- Investigates criminal activity including fraud cases and obtains evidence as required. Files complaints with local police departments and serves as the Bank’s liaison with law enforcement.
- Directs and /or coordinates collection efforts on fraudulent items.
- Serves as a member of the Bank’s Business Continuity Planning (BCP) Committee, contributing to the development and ongoing review of emergency response and continuity strategies
- Attends professional association meetings, seminars, and webinars to stay current on security trends and best practices and takes action to update the security program if necessary.
**As needed - after hours and weekend emergency calls involving security and or facility related issues.
Requirements
Experience/Education:
- 7+ years facilities management professional with previous building maintenance and project management experience.
- Must have experience of applicable building systems and security, including mechanical/electrical/plumbing with a strong emphasis on HVAC.
- High School Diploma or equivalent required; associate or bachelor’s degree in facilities management, security management or a related field preferred
- Certified Facility Manager (CFM) Preferred
- Valid driver’s license required
- Prior experience in physical security or law enforcement a plus
- Possess an understanding of all applicable ADA, OSHA, building codes and security compliance regulations
- Demonstrated ability to run a successful maintenance department
- Experience managing third party vendors and service contracts
Skills:
- Ability to manage a complex workload and have a good technical understanding of building services and security solutions.
- Strong planning, organizational and leadership skills.
- Ability to read and understand blueprints, floor plans and technical specifications
- Knowledge of physical security principles and emergency preparedness
- Ability to travel to and move around bank, between branch locations, between levels or floors while performing duties.
