Requirements
Job Purpose: The Bilingual Administrative Assistant plays a pivotal role in ensuring the efficient operation of four key areas: (1) Total ownership of the Reception Area and Mail Room, (2) Administrative Backup for the Programs Department, (3) mail opening and sorting, and (4) sorting and initial processing of financial donations that come in the mail for the Development Department. This person will be responsible for providing skilled administrative support with a focus on customer service, client relations, and clerical tasks. This includes providing primary support to answering the main phones lines, assisting callers and visitors, managing correspondence, and coordinating with various departments. Additionally, this position will contribute to the success of other FBNN programs such as TEFAP, Mobile Harvest, Senior and Wellness Program, as needed by providing crucial data entry and filing. And finally, this person will support the Development Department by ensuring accurate coding and timely gift processing, which includes looking up donor records in CRM (database) to help with coding gifts.
Required Education and Experience
- High school diploma or GED
- 1-2 years’ Previous office, receptionist or secretarial skills required.
- Fluent language skills in English and Spanish required
Required Certifications (if applicable)
Community Health Worker or other relevant certifications a plus
Preferred Skills & Experience
Bachelor’s Degree in Business Administration preferred
Essential Functions, include, but are not limited to:
- Receive all incoming calls and greet all guests in a friendly, polite and professional manner. Maintain a positive work environment by conducting all communications with clients, visitors, colleagues, co-workers and supervisors in a professional, friendly, cooperative and helpful manner.
- Conduct face-to-face and telephone contacts in a courteous and professional manner with each person who enters or calls the Food Bank. Excellent customer service skills are required. Refer, as appropriate, the caller or visitor to the proper staff person, Food Bank member agency or other resource.
- Research, compile, maintain and update current knowledge of Food Bank activities, programs, collateral materials, office desk manual and other resources so that inquiries are accurately and promptly handled with complete and timely responses.
- Process and code general correspondence, thank you letters and the daily mail to include copying and processing of incoming direct mail.
- Assist other members of the Donor Services and Insights Team as needed, with donor services projects and tasks.
- Maintain absolute confidentiality regarding all donor records, transactions, data, research and communications, respecting the anonymity of each donor’s identity, as directed by the donor and department policy.
- Assist members of the Programs Team as needed, with data entry, Filing and report processing.
- Make photocopies; processes mail, scans and emails documents; and performs other clerical functions.
- Completes basic filing with accuracy.
- Assists or prepares correspondence as requested.
- Perform data entry as needed, utilizing program specific software.
- Performs other related duties as assigned.

Travel
- This position may on occasion be required to travel locally to assist with events or specific functions.
Position Type/Expected Hours of Work
- This is a full-time position. Normal days and hours of work are Monday through Friday 8:00am-4:30pm. Days and hours may vary from normal schedule when program schedule adjusts or other special events arise.
Supervisory Responsibility
- This job has no supervisory duties.
Physical Demands
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
Work Environment

The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, stoop, kneel, crouch, or crawl. The Employee may need to occasionally lift 25-30 pounds. Vision abilities required by this job include close vision. Employee utilizes a computer for a significant portion of the day in the performance of duties.
