Adara Living is seeking a highly organized and detail-oriented Executive Assistant to support the Nursing Home Administrator in day-to-day operations. The ideal candidate will play a critical role in ensuring administrative efficiency, supporting compliance initiatives, and contributing to facility-wide performance improvement. This role requires strong proficiency in Microsoft Office Suite, excellent communication skills, and the ability to manage multiple priorities in a fast-paced healthcare environment.
Key Responsibilities:
- Administrative Support
- Manage the Administrator’s calendar, schedule meetings, and handle correspondence.
- Prepare reports, meeting minutes, presentations, and documents as needed.
- Assist with internal and external communications on behalf of the Administrator.
- Compliance & Auditing
- Conduct routine and scheduled audits (e.g., documentation, operational compliance, departmental reviews, facility rounds).
- Support quality assurance initiatives and assist in tracking outcomes and corrective actions.
- Policy Development & Documentation
- Assist in drafting, reviewing, and updating facility policies and procedures.
- Ensure policies are up-to-date with current regulatory guidelines and are properly filed and accessible.
- Performance & HR Support
- Assist with Pay for Performance tracking and documentation.
- Collaborate with HR on staff performance metrics, evaluations, and incentive programs.
- Data Management & Reporting
- Generate and analyze reports using Microsoft Excel (e.g., tracking audits, staff performance, staffing, budgets, census data).
- Maintain databases and filing systems both digitally and physically.
- Other Duties as Assigned
- Provide additional support to department heads and compliance teams.
- Participate in surveys, inspections, and preparation activities.
Required Skills & Qualifications:
- Preferred: Associate’s degree in Business Administration, Healthcare Administration, or related field (Bachelor’s preferred).
- Minimum of 2 years of administrative experience, preferably in healthcare or long-term care.
- Advanced proficiency in Microsoft Word, Excel, and Outlook.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- High attention to detail with a proactive and solution-oriented approach.
- Understanding of healthcare compliance standards and auditing practices is a plus.
Preferred Qualifications:
- Experience in a skilled nursing or long-term care facility.
- Familiarity with Pay for Performance or other performance-based incentive programs.
- Knowledge of state and federal regulations applicable to long-term care facilities.
Working Conditions:
- Office-based role within the nursing home setting.
- Regular interaction with staff, residents, vendors, and regulatory personnel.
- Occasional extended hours during audits, surveys, or administrative deadlines.

Compensation:
$60,000-$80,000 annually based on experience.
