About the Department

***Applicants seeking short-term or part-time work with the University Hawai'i may apply for Casual Hire positions, which include administrative, professional, and technical (APT) or instructional-type positions. Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits as provided to regular BOR and Civil Service employees such as paid leave and holidays. Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees.

Duties and Responsibilities 

*(Denotes Essential Functions)

1.       * Serves as an assistant to the Special Events Assistant Manager in developing, implementing, and maintaining programs set forth by the Special Events Operations.

2.       Work with requesting representatives to develop & coordinate parking arrangements for these events

3.       * Work with contracted services such as gate attendants, and traffic control personnel during Special Events

4.       Interacts with the public on a regular basis. Provides information on special event parking.

5.     * Assists in handling highly difficult situations with the public in a calm and rational manner. Uses judgement and initiative to defuse disruptive behaviors.

6.     Trains personnel working in special events and maintenance. 

7.     * Assist in supervising's up to 25 student assistants during an event.

8.    * Assist in supervising contracted services during Special Events 

9.     Able to audit equipment including but not limited to traffic cones, road flares, barricades, wooden a frames, traffic vests

10.     Work with Commuter Services parking office during high peak periods that include but not limited to permit processing and permit distribution

11.     Assists the Commuter Services Maintenance team during high peak periods to allow them to focus on facility repairs and maintenance. 

12.     * Provides labor services in setting up traffic related equipment including but not limited to; cones, barricades, a-frames, signs, etc.

13.     Assists with ensuing escalators and elevators are turned on and running during events and off after the event is completed. 

14.     * Assists with ensuring all traffic related equipment is picked up and stored properly at the end of the event.

15.     * Assists with ensuring all students and contracted equipment is properly working and stored away once the event is completed.

16.     Other Duties as Assigned 

 Minimum Qualifications 

1.       Possession of a baccalaureate degree in Business Administration, Public Administration, Social Science, Arts and Humanities, Education, or related field and 0 year of progressively responsible professional experience, or any equivalent combination or education and/or professional work experience which provides the required education, knowledge, skills, and abilities as indicated.

2.       Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of administration of auxiliary services functions in a college and/or university setting.

3.       Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.

4.       Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.

5.       Demonstrated ability to operate a personal computer and apply word processing software.

Supplemental Minimum Qualifications

6.     Ability to work outside of normal work hours; including evenings, weekends & holidays. 

7.     Possess a valid driver's license and ability to operate a vehicle.

8.     Able to coordinate and direct vehicular street traffic.

Desirable Qualifications 

1.       Some knowledge and experience with Special Events Coordination. 

2.      Working experience in Auxiliary Services Operations within a post-secondary education institution.
