Job Title: Dispatcher/Scheduler and Vehicle Inspector
Location: Fort Smith, AR

Position Summary:
We are seeking a compassionate and dedicated Dispatcher/Scheduler and Vehicle Inspector to provide assistance to our Transportation programs by scheduling, dispatching, and providing data entry for all programs. This position is also responsible for examining our fleet of vehicles for damage, missing parts, and/or mechanical problems to ensure all fleet vehicles are safe to operate.
Key Responsibilities
· Call Management: Answer all incoming calls related to transportation services promptly and professionally. Identify the agency and yourself, and ensure calls are handled efficiently and courteously.
· Scheduling & Coordination: Schedule transportation for both contract and private pay clients. Assign drivers, plan routes, and ensure timely service using designated software platforms. Distribute schedules to drivers and assist with real-time adjustments as needed.
· Recordkeeping: Maintain accurate logs, service records, inspection reports, and other required documentation. Ensure all data is current and stored according to compliance standards.
· Customer Service: Respond to questions, concerns, and complaints from clients and drivers. Resolve issues when possible and escalate concerns to the Transportation Manager or Director of Transportation in a timely manner.
· Data Entry & Reporting: Enter and manage client data for program monitoring, compliance, and service tracking. Assist with regular reporting to support operational and regulatory needs.
· Process Improvement: Work with management to streamline operations, improve scheduling efficiency, and enhance overall service delivery.
· Training & Development: Attend all required trainings, workshops, and educational sessions to stay informed of policies, procedures, and safety standards.
· Vehicle Inspections: Inspect vehicles and key systems (including ramps, hoses, and mechanical components). Identify and report any issues to the Compliance Officer. Maintain inspection logs and ensure vehicle safety standards are met.
· Compliance & Safety: Follow all safety policies and traffic regulations. Wear appropriate identification during work hours and report any violations or safety concerns immediately.
· Expense & Trip Tracking: Keep records of trips and any associated expenses, such as fuel purchases. Submit receipts and documentation as required.
· Additional Duties: Support the transportation team and perform other tasks as assigned to ensure quality service and efficient operations.

Requirements
- Associates Degree preferred, or equivalent combination of experience and education.
- Dispatching experience preferred.
- Familiarity with Fort Smith and surrounding cities/towns is preferred.
- Excellent verbal and written communication skills.
- Excellent organizational skills.
- Ability to proficiently use and perform key functions of MS Office programs.
- Ability to keep and maintain confidential information.
- Ability to work closely and effectively with employees and management.
- Must possess a valid driver's license.
- Must be at least 25 years old.
- Ability to operate, carry and transport various tools for minor repairs.
- Mechanical/automotive/inspection experience preferred.
