SUMMARY
Reporting to both the Accounting Manager and the Human Resources Manager, the Accounting & HR Support Administrator provides essential administrative and data entry support across core finance and HR functions. This position plays a key role in maintaining accurate records, coordinating workflows, and supporting day-to-day processes that ensure the smooth operation of both departments.
The role is well-suited for a detail-oriented individual who thrives in a collaborative, fast-paced environment and is comfortable managing confidential information with discretion.
ESSENTIAL JOB FUNCTIONS
Accounting Support (60%)
- Process and post cash and electronic payments daily; audit and review daily journal entries for accurate reporting and coding.
- Process and reconcile city desk balancing paperwork to ensure transaction accuracy.
- Set up new customer accounts, including gathering and verifying required documentation.
- Assist in reviewing job accounts and lien waivers for accuracy and compliance.
- Investigate and resolve discrepancies on customer accounts, including misapplied payments and billing issues.
- Respond to customer inquiries via phone and email regarding account balances, payment status, and billing discrepancies/disputes.
- Support the credit and order approval process.
- Process and apply customer credit memos, refunds, and account adjustments accurately and in a timely manner.
- Maintain accurate and organized records of transactions and communications.
Human Resources Support (40%)
- Maintain and update employee records in the HRIS system, including, but not limited to, new hires, job changes, and terminations.
- Upload and update company documents in the HRIS system, ensuring current versions are available; assist with edits and changes as directed by the HR team.
- Coordinate interview scheduling and candidate communication as part of the recruitment process.
- Assist with onboarding and offboarding activities, including scheduling 30/60/90-day stay interviews and managing related administrative tasks, while ensuring all documentation is complete and organized.
- Process updates related to employee benefits, including enrollments and life event changes.
- Support the preparation of HR documentation for audits, compliance, or internal reporting.
- Schedule meetings and provide administrative support for HR projects and initiatives.
Administrative Coordination
- Maintain shared digital and physical filing systems for Accounting and HR documentation.
- Prepare reports, spreadsheets, or presentations as needed for team use or internal meetings.
- Perform general administrative tasks such as document scanning, data entry, filing, and records cleanup.
- Contribute to the development and improvement of processes related to document handling and workflow efficiency.
Other
- Participate in and promote continuous learning and development through training initiatives such as MN Air University, HR/Finance and Accounting programs, tech-support courses, webinars, or other job-related trainings to foster continuous learning and development mindset.
Perform other related duties as assigned.
REQUIRED SKILLS/ABILITIES
- Strong organizational and time management skills, with attention to detail and accuracy.
- Effective written and verbal communication skills for working with internal teams and external vendors.
- Ability to manage sensitive information with a high level of discretion and confidentiality.
- Comfortable working independently while managing multiple tasks and meeting deadlines.
- Proficient in Microsoft Office Suite, particularly Excel and Word.
- Familiarity with HRIS or accounting software systems (e.g., Paylocity, QuickBooks, NetSuite, or similar) is a plus.
- Basic problem-solving and analytical skills with an eagerness to learn and grow in HR and finance functions.
- Demonstrated reliability, professionalism, and a proactive approach to administrative tasks.
- Collaborative mindset and willingness to support cross-functional teams as needed.
EDUCATION AND EXPERIENCE
- Associate’s degree in Business Administration, Accounting, Human Resources, or a related field required; Bachelor’s degree preferred.
- 1–2 years of administrative experience, ideally supporting HR or Accounting functions.
- Exposure to or experience with HR/payroll systems or basic accounting processes is strongly preferred.
- An equivalent combination of education and relevant experience will also be considered.
