Role and Responsibilities
Administrative Support
- Provide high-level administrative support to senior leadership.
- Manage complex calendars, coordinate internal and external meetings, and arrange travel and accommodations.
- Prepare presentations, reports, correspondence, and other business documents.
- Monitor and prioritize email, deadlines, and action items for executives.
Operational and Office Coordination
- Assist with business licensing and maintain accurate records of renewals and compliance.
- Support ESG (Environmental, Social, and Governance) reporting processes.
- Coordinate the issuance of certificates of insurance as needed.
- Plan and execute company events, meetings, and activities.
- Maintain an organized, well-supplied office environment by managing inventory and ordering supplies.
- Ensure smooth day-to-day office operations and recommend process improvements.
Compliance and Confidentiality
- Handle confidential information with the highest level of discretion and professionalism.
- Ensure compliance with company policies, procedures, and applicable regulations.
Qualifications and Education Requirements
- Minimum of 5 years of experience in an executive administrative support role, preferably supporting senior leadership in a corporate environment.
- Strong organizational, multitasking, and problem-solving abilities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and ability to learn new software quickly.
- Excellent written and verbal communication skills.
- Professional demeanor and proven ability to maintain confidentiality.
- Ability to anticipate needs and proactively offer solutions.
Physical Requirements
- Ability to lift and carry 10 pounds.
- Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits employee to communicate effectively.
- Ability to sit for prolonged periods of time with or without reasonable accommodation.
The individual must also be able to wear and properly utilize appropriate personal protective equipment (PPE) to work or visit within areas where it is required. This includes hard hat, safety glasses/spoggles, respirators, ear plugs, steel toed shoes, or other protective equipment as required by the work performed and location the work is being done.
