Eagle Harbor, LLC, a subsidiary of Three Saints Bay, LLC, and a Federal Government Contractor industry leader, is seeking a General Clerk III with excellent customer service skills to join our Team in Martinsburg, WV.

Responsibilities: 

  • Performing high-level quality assurance sampling of processed records to determine level of product satisfaction as it pertains to the expected tracing outcome
  • Accurately and efficiently documenting deficiencies found during the procedural quality control process, in an arranged, organized manner.  Once documented, any deficiencies should be reported to the department supervisor(s) for team member feedback.
  • Manage record destruction workload based on a first in, first out process
  • Reviewing records to determine best processing practices
  • Ensuring all processed records and communication correspondence is accurately documented in a RECPAK
  • Accurately track receipt of shipments and updating the Warehouse Tracking System with necessary FFL and disposition information, which also include creating box labels and affixing labels to boxes for inventory purposes
  • Communicating with inactive Federal Firearms Licensees and/or Industry Operation Investigators, while utilizing various contact methods. Contact methods may include: inbound and outbound voice, electronic mail, and facsimile transmissions
  • Process Urgent and Routine Trace Requests work flowed to the Warehouse and Media Conversion Teams based on oldest to newest days in queue
  • Perform approved detailed trace processes for assigned work area with a high degree of understanding and application by utilizing your familiarity with firearm serialization including manufacturer, caliber, type and model
  • Employ fact finding and investigative techniques to gather and apply information
  • Meet or exceed the established production and quality matrix goals for assigned work area
  • Perform other tasks as needed and directed to ensure team goals are met including, but not limited to, administrative tasks such as performance tracking and reporting as directed by supervisor
  • Utilize computer skills including accurate use of keyboard, skills with various computer programs and databases used in the work processes, such as ECM, FLS, FID, FTS, eTowrs, Digital Reel and Microsoft Office Suite (specifically Excel) applications.

Requirements:

  • Applicant must submit an approved Eligibility Statement. (Meeting current Performance standards including Production and Accuracy goals, attendance and behaviors)
  • Ability to apply experience and judgment in selecting procedures to be followed and in searching for, interpreting, selecting items to be entered from a variety of documented sources
  • Exhibit good computer skills including accurate use of keyboard, familiarity with basic Microsoft Office (Specifically Excel) applications and accessing and utilizing web browsers to conduct simple inquiries
  • Experience in performing work with a strong sense of attention to detail and accuracy
  • Ability to work with minimal supervision and manage time to efficiently complete actions within acceptable service and accuracy levels
  • Knowledge of ATF’s mission and approved processes; ability to apply good judgment in selecting, applying and adapting appropriate work related material in all formats that follow a broad range of principles, concepts and practices. May include the ability to recognize patterns to focus the search and make independent decisions about when to move from one search technique to another or from one records / dataset to another, interpret and select information to be prepped, imaged or entered from the variety of sources 
  • Identifying and submitting potential problems to appropriate levels of management
  • Ability to accurately record and report production numbers
  • Willingness to work as a team player
  • Duties as assigned by Supervisor to meet contract requirements, including directing and training of same or lower level staff
  • Good oral and written communication skills
  • Strong sense of Customer Service
  • Ability to perform frequent and repetitive motions using fingers, hands, wrists and arms
  • Ability to occasionally lift up to 40 pounds
  • High school diploma or general education degree (GED)

     

  • Minimum of one year in Document Preparation and some firearm tracing experience is preferred
  • Some telephonic customer service skills preferred
  • Passing test score if typing test was required in previous position

 

Shift Requirement/Openings: 6am - 2:30pm
