Position Summary
Under the general supervision of the Vice President of Operations at Wesley Woods Senior Living, Inc., the Residential Administrator leads the development and daily administrative operations of a Wesley Woods retirement community.
In collaboration with other Wesley Woods communities and services, the Administrator oversees all programs and services, ensuring operational excellence, regulatory compliance, and person-centered care. This role is responsible for the financial performance of the community, managing employees and volunteers, and implementing a market-oriented approach to resident services and community growth.
Key Responsibilities
Strategic Planning

Collaborates with the Vice President of Operations to develop and implement short- and long-term plans for the community.

Designs plans for new services, including acquiring necessary licenses, permits, consultants, staffing, and funding.

Maintains a strong understanding of Wesley Woods’ strategic plan, mission, vision, and values.
Community Operations

Manages day-to-day community operations in alignment with WWSL objectives and applicable governmental regulations, including Department of Housing and Urban Development (HUD) standards.

Ensures operational performance meets or exceeds annual HUD review expectations.

Directs administrative and departmental functions including dining, maintenance, and resident engagement.
Financial Oversight

Develops and manages annual operating and capital budgets, obtaining necessary approvals from WWSL leadership, boards, and agencies.

Establishes effective marketing strategies to maintain occupancy goals.

Manages the admissions process and ensures smooth transitions for new residents.
Staff Leadership

Manages staff in compliance with WWSL HR policies, overseeing recruitment, training, performance evaluations, and disciplinary actions.

Promotes professional development through required and optional training opportunities.

Collaborates closely with Human Resources for all employment-related matters.
Community Relations & Fundraising

Builds and maintains strong relationships with civic leaders, community organizations, and donors.

Works closely with the Wesley Woods Foundation, board members, and volunteers to support fundraising initiatives.

Maintains a volunteer network and presents to churches, community groups, and donor organizations as needed.
Policy Implementation & Compliance

Implements and monitors organizational policies related to safety, risk management, finance, HR, and fundraising.

Assists with company-wide policy development and updates as necessary.
Capital Projects

Oversees construction, repairs, and capital improvements to community property.

Leads planning and execution of facility upgrades and improvement projects.
Reporting & Documentation

Prepares and submits reports and related documents to senior leadership as required.

Maintains all necessary compliance documentation and records.
Professional Development

Actively seeks and participates in training and professional development opportunities to remain current on industry trends and regulatory changes.

Qualifications
Minimum Qualifications
- Bachelor’s degree preferably in Management. Masters preferred.
- Four or more years’ experience in administration and managing in a residential community or equivalent experience in a non-profit institution.
- Excellent planning, organizational, analytical, and oral and written communication skills. Proven leadership and management skills.
- Knowledge of technical requirements of Housing and Urban Development (HUD) regulations, budgeting, marketing, and planning. Skills in collaborative management to lead diverse staff. Ability to analyze problems and propose solutions. Ability to communicate effectively in writing and make exceptional oral presentations.
- Ability to maintain a high degree of confidentiality. Ability to perform responsibilities without direct supervisor and judge appropriate actions.
Additional Information
This position will generally work 40 hours per week. However, the position requires a willingness and flexibility in working hours when necessary to fulfill job responsibilities including occasional evening or weekend work. The employee is subject to personnel policies and procedures prescribed for all employees.
