  1. SCOPE OF POSITION

The Accounting Associate is responsible for supporting the Accounting Department with a primary focus on accounts receivable (AR). This role ensures timely and accurate billing, payment follow-up, and data entry into the accounting system. The position also assists with various general accounting duties, including financial reporting support, payroll processing, and inventory receiving documentation. This role contributes to the accuracy of financial records and helps maintain compliance with company policies and regulatory standards. 

  1. PRINCIPAL RESPONSIBLITIES

Functional Responsibilities

  • Perform AR-related functions, including data entry, customer account reconciliation, and invoice maintenance.
  • Generate and maintain customer invoices and ensure timely distribution.
  • Follow up with customers regarding outstanding balances; coordinate with sales representatives as needed.
  • Support monthly and year-end financial reporting activities.
  • Enter and reconcile daily and weekly financial reports.
  • Assist with inventory-related issues and documentation.
  • Prepare receiving packets for Accounts Payable, ensuring traceability and accuracy of items/materials received.
  • Process hourly payroll for the Wilmington location in accordance with payroll schedules.
  • Support inventory counts and reconciliation activities.
  • Participate in special projects and provide general accounting support as needed.
  • Ensure compliance with company policies, including HACCP, GMPs, and SQF standards.
  • Assist in assuring HACCP, GMP’s, Work Instructions, and Food Safety Quality system requirements (SQF) are in compliance.

  • Regular use of computers, telephones and miscellaneous office equipment

  1. QUALIFICATIONS

Education & Experience

  • High School Diploma or GED required, post-secondary coursework in accounting or related field preferred.
  • Minimum 3–5 years of accounting experience, preferably in a manufacturing or industrial environment.

Skills

  • Strong attention to detail and accuracy
  • Excellent organizational and time management skills
  • Ability to work independently and manage multiple priorities
  • Effective written and verbal communication skills
  • Proficient in Microsoft Excel and Word
  • Familiarity with accounting software systems and general AR processes
