POSITION SUMMARY

 

The Actualization Specialist is responsible for the accurate and timely "actualization" of commodity trades within the RightAngle ETRM system. This critical role collaborates with various business segments, ensuring that the physical movement of commodities is properly reconciled with the corresponding trading positions and assists in laying the groundwork for accurate invoicing and financial reporting.

 

EDUCATION REQUIREMENTS

 

  • Bachelor’s Degree in Accounting, Finance or related field required

 

EXPERIENCE REQUIREMENTS

 

  • Understanding of commodity actualization processes: General understanding of the physical movement of commodities, including nominations, scheduling, inventory management, and gain/loss calculations, is preferred. Experience with various commodity types and method of transportations (e.g., crude, refined products, biofuels; truck, rail, pipeline) will be a plus.
  • 2+ years of experience with settlements &/or volume actualization: Evident hands-on experience performing actualization, inventory management, or operational accounting functions. Experience within the RightAngle ETRM system is preferred.
  • Data Entry and Reconciliation Skills: Proven ability to accurately enter and reconcile large volumes of data, with a strong attention to detail.
  • Problem-Solving Skills: Excellent analytical and problem-solving abilities to identify and resolve discrepancies and complex actualization issues.
  • Communication Skills: Strong verbal and written communication skills to effectively collaborate with internal and external stakeholders. Fluent in English, oral and written required.
  • Flexibility: Ability to adjust schedule to meet business needs.

 

MAJOR ACCOUNTABILITIES

 

  • Cross functional collaboration: Orchestrate and maintain seamless communication as the central liaison across Front, Middle and Back-Office teams, ensuring knowledge and meticulous recording of all commodity movements.
  • Trade Reconciliation: Reconcile nominated and scheduled commodity movements with actual delivered or received quantities. This involves collaborating closely with schedulers and traders.
  • Data Entry & Validation: Accurately enter and validate actualized volumes, prices, dates, and other relevant details into the RightAngle ETRM system across various modes of transportation, ensuring data integrity and consistency. Examples include:
    • Bill of Ladings (BOL): Timely update of BOL data to comply with tight (up to Net 2) payment terms.
    • Inventory transfers: Weekly update of location transfers within RightAngle to facilitate inventory reconciliation by location performed by Accounting.
    • Contract validation: Ensuring data within RightAngle agrees with contract terms and conditions.
  • System Optimization: Contribute to the ongoing improvement of actualization processes within RightAngle, identifying opportunities for automation, efficiency gains, and enhanced data accuracy.
  • Documentation: Maintain clear and concise documentation of actualization procedures and exceptions.

  • Accurate and Timely Financial Data:
    • Accurate Invoicing: Proper actualization ensures that counterparties are invoiced for the correct quantities, minimizing billing errors and disputes. Timely inventory movements against sales deals enable consistent billing and optimization of cash flow.
    • Timely Payables: Prompt update of bill of lading information into RightAngle facilitates timely payment to vendors and fosters strong vendor relationships.
    • Reliable P&L Reporting: Precise actualized data forms the basis for accurate Profit & Loss (P&L) statements, providing a true reflection of trading performance.
    • Timely Month-End Close: Direct responsibilities tied to the month end closing calendar.
  • Optimized Inventory Management:
    • Real-time Inventory Visibility: The RightAngle system will reflect accurate, up-to-date physical inventory levels, allowing for better tracking and control of commodities.
    • Minimized Stock Discrepancies: Reduced instances of unexplained inventory variances, leading to less product loss or misallocation.
    • Improved Operational Planning: Accurate inventory data supports more effective scheduling and logistics.
  • Enhanced Risk Management:
    • Accurate Exposure Calculation: Actualization Specialist helps ensure that risk exposures (e.g., volumetric, price) are precisely calculated in RightAngle.
    • Proactive Risk Identification: Timely actualization can highlight potential operational or financial risks earlier, allowing for quicker mitigation.
  • Streamlined Operational Efficiency:
    • Automated Processes: Where applicable, the specialist will identify and implement opportunities to automate manual actualization tasks, saving time and reducing human error.
    • Improved Cross-Functional Collaboration: Effective communication and collaboration with logistics, trading, and accounting teams, leading to smoother handoffs.
  • Robust Data Integrity and Reporting:
    • High Data Quality: The actualization data within RightAngle will be clean, consistent, and reliable, supporting robust reporting and analysis.
    • Actionable Insights: The ability to generate accurate and insightful reports on actualized volumes, variances, and performance metrics, aiding in strategic decision-making.
    • Compliance: Adherence to internal policies and external regulatory requirements related to commodity movements and inventory.
